Position overview

We are seeking a Personal Assistant & Office Coordinator to provide high-level administrative support and ensure the smooth running of our Head Office, including HR-related admin tasks. You will assist senior leadership and other stakeholders with scheduling, travel, and daily operations, while also handling tasks that enhance productivity and maintain an organized, positive workspace.

Key responsibilities
  • Provide personal assistance to stakeholders, managing schedules, meetings, and travel arrangements.
  • Serve as the point of contact for internal and external communications, handling inquiries and coordinating appointments.
  • Oversee daily office operations, ensuring the space is well-maintained, organized, and stocked with supplies.
  • Coordinate with suppliers and vendors for office needs, including supplies, IT services, and facility support.
  • Plan and support team events, meetings, and projects, from catering to logistics.
  • Assist with documentation, record-keeping, and administrative tasks to support team efficiency.
  • Support onboarding activities and maintain a welcoming environment for new employees.
Person specification
  • Proven experience as a Personal Assistant, Office Coordinator, or similar role, preferably in a fast-paced environment.
  • Strong organizational and multitasking skills, with a proactive, problem-solving attitude.
  • Excellent written and verbal communication skills.
  • Professionalism and discretion, especially with confidential information.
  • Ability to work independently and collaboratively.
  • Proficiency with Microsoft Office, Google Workspace, and calendar tools.
  • Interest in luxury fashion and LUCA FALONI values.
