Job Title: PA/Administration Assistant to the Private Client team

Location: Stirling, United Kingdom

Job Type: Full time/Permanent

Department: Private Client

Overview: Our busy Private Client department, led by STEP qualified Partners across Scotland, is seeking an experienced PA/Administrator familiar with Wills, Trusts, and Executries to join the team. The role involves supporting fee earners working with various teams across Scotland to deliver comprehensive client services. There are opportunities for career progression for individuals demonstrating good client relationship skills, teamwork, and business development participation.

Key Responsibilities:

  1. Answering calls, managing diaries, and scheduling appointments.
  2. Opening legal and money laundering files.
  3. Providing secretarial support, including typing dictation, fee notes, and correspondence.
  4. Data entry and management of client records.
  5. Office administration, including filing, scanning, and mail handling.
  6. Assisting with instructions and referrals.
  7. Using various systems for record updates.
  8. Handling basic client queries and message taking.
  9. Preparing fee notes and registering Powers of Attorney.
  10. Completing forms, lodging, and uplifting wills and documents.
  11. Debt management tasks.

Qualifications:

  • Highers or equivalent in English and Mathematics.

Skills and Experience:

  • Pleasant telephone manner and message handling skills.
  • Proficient with MS Office and office systems.
  • Previous office experience.
