Job summary

A leading healthcare organization is seeking an Administrative Support specialist to enhance our outpatient services. The role involves clerical tasks, maintaining patient records using the Maxims EPR system, and ensuring compliance with hospital policies while delivering excellent service to both patients and colleagues.

Position Summary

Supports the administrative procedures of the department.

Qualifications / Key Selection Criteria (other than stated on Administration Assistant job description)

  • Knowledge of relevant legislation pertinent to patient information.
  • Knowledge of Maxims EPR system.

Key Performance Criteria

Technical Skills and Application

  • Responsible for clerical/administrative duties for the department, including the Outpatients Department (OPD), Pre-Operative Assessment (POA), and Physiotherapy.
  • Dealing appropriately, professionally, and efficiently with all communications and queries.
  • Act as a point of contact for the department and develop good working relationships within the hospital.
  • Demonstrate strong organisational skills.
  • Ensure compliance with hospital policies and procedures, carrying out roles professionally and efficiently.
  • Work with high attention to detail.
  • Possess skills in administration, teamwork, planning, organisation, and communication.
  • Ensure all charges related to OPD clinics are loaded onto Maxims promptly.
  • Update patient records in Maxims timely with all relevant information.
  • Undertake ad-hoc analysis and projects as requested.
  • Maintain efficient office procedures appropriate to the role.
  • Ensure documentation meets required standards.
  • Maintain a comprehensive filing system (manual and electronic) and carry out file maintenance as needed.
  • Communicate directly with patients and handle their queries regarding OPD appointments.
  • Maintain patient confidentiality at all times.
  • Deal professionally with all communications, queries, and visitors to the department.
  • Liaise with staff in other departments, the public, and outside agencies courteously and confidentially.
  • Forward email and phone queries to relevant staff promptly.
