Job description

Overview:

An exciting opportunity has arisen for an Operations Manager to join a growing team within the luxury beauty industry. This role is integral to ensuring smooth day-to-day operations across multiple functions, requiring an all-rounder who has worked in an e-commerce brand and is comfortable wearing multiple hats.

Rather than focusing solely on logistics, this position involves overseeing general business operations, stock forecasting, retail partner management, product registrations, and stepping into other areas when needed.

The ideal candidate will have experience working in a smaller business where adaptability is key, and they will be proactive in problem-solving across operations, HR, recruitment, marketing, customer service, and compliance.

Key Responsibilities:

  • Oversee and coordinate shipments from manufacturers to warehouses but without a focus on complex logistics.
  • Manage retail purchase orders, delivery notes, and invoicing processes.
  • Forecast demand and monitor stock levels to ensure smooth operations (though deep forecasting expertise is not essential).
  • Handle retailer and product registrations across multiple countries, particularly for beauty and personal care products (e.g., UAE compliance requirements).
  • Support back-end management of Shopify, including updating product listings and monitoring website performance.
  • Assist with recruitment and HR, ensuring smooth internal processes.
  • Liaise with new retailers and onboard them efficiently, including managing documentation for larger department stores.
  • Oversee Amazon Seller Central operations, ensuring smooth listing and shipment processes for UK and US markets.
  • Align with other departments such as Marketing and Social Media, stepping in to respond to comments or escalations when required.
  • Step into customer service issues when necessary, though a dedicated customer service team is in place.
  • Ensure smooth accounts and finance operations related to retail orders.
  • Support compliance with international product registration processes, ensuring that products meet country-specific regulations.
  • If experienced, assist in overseeing EDI platforms for order processing.

Ideal Candidate Profile:

  • Broad operational experience in a small to medium-sized e-commerce business, preferably in beauty, personal care, or related sectors.
  • Comfortable working in a dynamic environment where responsibilities span multiple departments.
  • Hands-on experience with Shopify is required.
  • Experience with Amazon Seller Central is a big plus.
  • Familiarity with EDI platforms is highly desirable.
  • Some knowledge of Klaviyo would be beneficial, though not essential.
  • Experience managing retail partner onboarding and purchase orders.
  • Strong problem-solving skills and ability to adapt when different challenges arise.
  • An all-rounder who can step into different areas such as HR, recruitment, customer service, and marketing when needed.
  • Immediate availability or a maximum one-month notice period is preferred.

Salary & Benefits:

  • Up to GBP45,000 per annum (flexible for the right candidate).
  • Remote role, open to candidates based anywhere in the United Kingdom.
