OPERATIONS ASSISTANT JOB SUMMARY

As a Warehouse / Operations Administrator, you will be an integral member of the Warehouse team, supporting the smooth running of a busy unit and working closely with other colleagues across the wider business.

The ideal Warehouse Administrator will be confident in the use of various systems, happy to work off spreadsheets, update and manipulate data and figures, and have a good general understanding of the day-to-day operations of a busy warehouse environment.

KEY RESPONSIBILITIES
  • Generate pick notes, dispatch orders, input commercial invoices and maintain accurate internal records.
  • Record dangerous goods notes, manage goods-in receipting, scan documentation and perform general filing/data entry tasks.
  • Assist with transport planning, update internal systems and liaise with 3rd‑party logistics partners as required.
  • Take minutes in meetings and support repairs/maintenance schedules, booking engineers where appropriate.
  • Ensure health & safety records are signed, up‑to‑date and returned to QSHE Manager.
  • Serve as the key point of communication between the warehouse and head office.
  • Help maintain training records and handle sickness/absence/return‑to‑work paperwork, notifying relevant managers when needed.
  • Carry out general housekeeping duties, including ordering stationery, sending out post and other office support tasks.
SKILLS / EXPERIENCE
  • Previous experience in a similar role is essential.
  • Excellent administration, organisational and communication skills; ability to interact with all levels of staff.
  • Ability to work independently, make decisions and manage own workload.
  • Good understanding of business processes, logistics and overall warehouse activities.
  • Experience with CRM / ERP packages is essential; confidence in working with multiple systems.
