Primary Purpose:

As an Operations Assistant at JLL, you will support our team in delivering operational initiatives, ensuring smooth day-to-day functions, and contributing to the success of our retail environments. This role requires attention to detail, organizational skills, and a passion for customer service.

Supporting the General Manager and Operations Manager in managing the Croydon Estate, focusing on asset performance, H&S, service partner management, and budget control.

Key Objectives:

  1. Implement and maintain operational procedures across the shopping centre.
  2. Support inspections, liaise with retailers, manage service charge budgets, and contribute to financial reports.
  3. Coordinate with contractors and vendors to meet high standards.
  4. Contribute to sustainability initiatives and energy-efficient practices.
  5. Assist in safety drills and emergency preparedness.
  6. Create and maintain management documentation and reports.

Key Responsibilities:

  1. Deputise for the Operations Manager as needed.
  2. Act as Duty Manager when required.
  3. Oversee operational and facilities management.
  4. Ensure compliance with insurers’ requirements.
  5. Liaise with JLL’s wider IFM team.
  6. Prepare operational reports.
  7. Develop and review emergency and business continuity plans.
  8. Support scenario-based emergency training.
  9. Update and distribute the Occupiers Handbook.
  10. Manage tenant onboarding, health & safety inductions.
  11. Coordinate major works with landlords.
  12. Ensure adherence to Working Practices Manual.
  13. Oversee accident and incident reporting.
  14. Motivate contractors to meet standards.
  15. Assist with shop fit plan approvals.
  16. Liaise with owner’s representatives.

Experience, Knowledge & Qualifications:

  • Strong organizational and communication skills.
  • Proficiency in Microsoft Office.
  • Detail-oriented with problem-solving skills.
  • Experience in retail or shopping centre management is preferred.
  • Knowledge of retail operations, tenant relations, and sustainability practices.
  • Experience with property management software.
  • IOSH Managing Safely certification or equivalent.
  • Understanding health & safety regulations.

Management Structure: JLL manages the estate, ensuring high-quality service, maintenance, and tenant compliance.

Teamwork: The site operational team, property management, and clients/owners work together to maximize investment income.

Customer Relations: Support the Operations Manager in responding to customer complaints and maintaining high satisfaction levels.

Contractors and Suppliers: Support management of contract staff and service standards within procurement agreements.

Tenant Relations: Foster professional relationships with tenants and stakeholders, resolving issues promptly.

Procurement, Invoice Coding & Approval: Ensure invoices are approved and correctly coded.

Health & Safety & Environment: Comply with legislation, operate safely, and support environmental targets.

Additional Responsibilities: Assist with client transactions, provide data, coordinate site visits, and represent the brand in the community.
