Job summary

Cardiff and Vale University Health Board is seeking an Operational Support Officer to join the Surgical Division. The role requires high professionalism, excellent communication and teamwork, with flexibility to meet service demands.

You will support the Deputy General Manager and Administration Lead to meet quality, activity and financial KPIs, monitor data quality across EPR/RTT, and input data using ESR and other systems, contributing to service improvement and audits.

Qualifications

  • GCSE in English and Mathematics or equivalent.
  • RSA Stage 3 Typing/Word Processing or equivalent.
  • Secretarial qualification or equivalent, Previous secretarial experience or equivalent.
  • Diary management, Previous experience dealing with the public.
  • NHS/healthcare experience, Ability to work on own initiative without close supervision.
  • Ability to prioritise and organise own workload.

Responsibilities

  • Support the Division in the delivery of corporate targets and day-to-day operational service delivery.
  • Support the Deputy General Manager and Administrative Admin Lead to meet quality, activity and financial KPIs.
  • Monitor EPR, RTT, Patient Tracker List and data quality to ensure waiting times and booking targets are met and avoid breaches.
  • Input and produce data using ESR, EPR, rotas, trackers, Datix and other relevant systems.
  • Support projects, waiting list initiatives, EPR training and service improvement.
  • Arrange meetings, take minutes, complete action logs, manage diaries and maintain Directorate systems.
  • Escalate resource concerns and operational issues and support Business Continuity and Emergency Planning.
  • Monitor Consultant annual leave, capacity planning, mandatory training and appraisals.
  • Participate in audit and quality improvement developments.
  • Undertake SPDRs and contribute to Directorate training plans.
  • Undertake annual appraisal and maintain professional knowledge and a 3-year portfolio of evidence.

We have an exciting opportunity for an Operational Support Officer to join the Surgical Division. You will need to be adaptable and flexible to meet the demands of the services.
