Job summary

Hurst Green Infant School and Nursery in Oxted, Surrey, is inviting applications for an Admin/Office Assistant on a fixed-term, part-time basis. You will join the school office to support information management, enquiries, and event coordination while maintaining confidentiality and a professional image.

The post focuses on data entry, filing, basic financial tasks, and assisting with pupil welfare. You’ll work as part of a collaborative team with on-site parking and staff benefits.

Responsibilities

  • Collect, update and maintain information, data and records ensuring accuracy of information held.
  • Maintain manual and computerised records and management information systems including databases and the school website as required.
  • Support the efficient running of the school office, dealing with telephone, email and face to face enquiries, and ensuring the school's security procedures for visitors are properly followed.
  • Carry out a range of administrative tasks to support the smooth running of the school office, including communications with parents, school visits and events, and creating social media posts.
  • Assist with pupil first aid/welfare duties.
  • Undertake general financial administration such as processing orders, collecting and recording monies.

The ability to work as part of a team and build relationships with others is key, as is the requirement to maintain confidentiality at all times.In return we will offer you: -· A happy and caring school where every pupil and staff member counts· Beautiful large grounds including two playgrounds and a large field with two Forest School areas.· Happy children who want to learn and who take pride in their achievements .· Dedicated and supportive staff who are keen to develop and learn.· Strong links with other local schools and schools within the Tandridge Learning Trust for training, collaboration, and inspiring CPD opportunities.· Additional benefits including lifestyle and retail discounts, on-site parking and an employee assistance programme.**Job Purpose**- Provide support on a broad range of routine administrative activities as a member of the school office team to enable the school to function efficiently.- Key deliverables include:- Collect, update and maintain information, data and records ensuring accuracy of information held, and produce routine reports as requested by senior staff or external agencies (e.g. standard/statutory returns);- Maintain manual and computerised records and management information systems including databases and the school website as required;- Support the efficient running of the school office, dealing with telephone, email and face to face enquiries, and ensuring the school's security procedures for visitors are properly followed, to provide a courteous welcome to all stakeholders and visitors and promote a positive and professional image of the school;- Carry out a range of administrative tasks to support the smooth running of the school office, including managing communication with parents, arrangements for school visitsand events, writing of the school newsletter, creation of social media posts, administration of school lettings and other uses of the school as required;- Assist with pupil first aid/welfare duties.- Maintain stocks and supplies, placing authorised orders for school resources and distributing;- Undertake general financial administration such as processing orders, collecting and recording monies and assist in maintaining various school accounts in accordance with financial regulations and procedures;**Key Accountabilities and Tasks****Analysis, Reporting & Documentation**- Organise information to agreed procedures by filing, data entry, checking/matching data etc to ensure accurate records are maintained.- Prepare and dispatch a range of routine documents to meet the daily priorities in their area of responsibility.**Service Delivery**- Carry out administrative and/or support activities to contribute to the smooth running of the school office.- Receive and respond to everyday enquiries from stakeholders and visitors to provide a timely,courteous and efficient service to others.**Planning & Organising**- Organise routine meetings, make arrangements and bookings under clearly defined instructions and maintain diaries.- Help to prepare straightforward materials to assist in the effective organisation of internal/ external activities- Assess the range and volume of work to be undertaken for the days ahead and plan to ensure it is completed to time and to an appropriate standard.*This post is exempt from the Rehabilitation of Offenders Act 1974.
