Job Summary
This is an exciting opportunity to join a small multi-disciplinary team, including doctors, nurses and other health care professionals where the role you perform will directly contribute to saving and improving patients’ lives.
Your work will be varied and interesting and you will use your customer/communication skills to enhance the high-quality service that our team provides to a range of agencies including blood/tissue donors, hospitals, organ donation teams and other NHS and government agencies across England.
You will be a member of a team that is one of NHSBTs primary links to donors and hospitals, interpreting their needs, managing communication and providing a high-quality service to hospitals and the patients they serve, as well as to blood, tissue and organ donors whose altruistic donations form the foundation of our service.
As a department we believe in personal development, and you will have the opportunity to enhance your knowledge and understanding of the NHS Blood & Transplant by attending interesting monthly lunchtime lectures on everything from clinical case updates to Zika virus.
The working hours for this role are flexible between 30 and 37.5 hours per week.
Main duties of the job
In this role you will be responsible for providing a comprehensive administrative support to the Microbiology Services Clinical Team, acting as a liaison point for donors, other NHS organisations and various external agencies at all levels. Your duties will include:-
- Maintaining case files and working systems with a high degree of accuracy and in accordance with clinical governance guidelines, maintaining strict confidentiality at all times
- Searching various data sources and compiling information for case files
- Data entry ensuring all records are up to date and accurate
- Receiving and making telephone calls, assessing and prioritising importance
- Dealing with queries and requests for information from donors, clinicians and various other agencies Undertaking routine correspondence
- Maintaining manual and electronic filing systems
- General office duties for example photocopying and scanning documents.
- Providing a high quality administrative support including: producing a weekly schedule of available clinicians, managing a bring forward filing system and organising patient referrals
- Communicating on many different levels with multi disciplinary teams.
About You
Experience and Knowledge
- Experience of working in a busy office environment, using office equipment, handling conflicting deadlines and priorities
- Experience of working with information technology using Microsoft Office packages (Word, Excel and PowerPoint), or equivalent Systems
Qualifications And Training
- Minimum of GCSE grade C or above including English and Maths or equivalent qualification OR equivalent experience in a similar role
- European Computer Driving Licence (ECDL) (part I & II) or ITQ2, or CLAIT II, or RSA III text or word processing OR demonstrable workplace experience
- Demonstrates commitment to own continuous learning and development
