Job description
Job Summary

Are you looking for a new challenge, working in a fast‑paced environment? If so, this could be the role for you! You will be responsible for providing an effective service for all visitors presenting in the Minor Injuries Unit (MIU) at Princess of Wales Community Hospital. You will be the first point of contact for our patients and will provide a professional, efficient, and courteous reception service, both in person and over the phone, while ensuring patient confidentiality.

The successful candidate must be flexible, forward‑thinking and proactive, and commit to delivering a high‑quality service. This is a challenging role that requires excellent communication and empathy skills.

To contribute to the delivery of a high‑quality MIU across the Trust and Community.

The position is a 16‑hour post to cover evenings, weekends, and occasional daytime cover.

Please note the Trust is unable to provide sponsorship; to apply you must have current right to work in the UK.

Responsibilities
  • Book appointments for patients into the MIU and make other booking/transport arrangements; respond to queries and requests for information in accordance with office procedures, guidelines and protocols; refer complex or unusual requests to the Team Administrator or a clinical team member.
  • Work with other staff to promote a smooth and efficient workflow; undertake assigned admin tasks such as formatting letters and reports; carry out photocopying/printing.
  • Be proactive and forward‑thinking; regularly check the tidiness and cleanliness of the office environment and take action to resolve any problems.
  • Participate in a range of shifts, including evenings and weekends, in line with service requirements and demands.
  • Assist the MIU Manager in reviewing office protocols and guidelines, providing advice on changes in working processes; attend team meetings as required.
  • Undertake any other clerical duties that may be necessary for the speedy progression of patients through the department.

Person Specification
Knowledge
  • Knowledge of office procedures
  • Working knowledge of Microsoft Office (Word, Excel, Outlook)
  • Understanding of the Data Protection Act and NHS Code of Confidentiality
  • Recent, relevant experience in an Administrative/Secretarial/Reception/Customer Service role
  • Previous, relevant NHS experience (desirable)

Qualifications
  • Educated to academic Level 2 (e.g. GCSE Grade A‑C, NVQ2, OCR/RSA2, City and Guilds 2) in a Business Administration‑related subject, or considerable recent NHS administrative experience. A relevant Level 2 qualification will be required upon appointment.
  • Original certificates must be provided to verify qualifications at the point of offer.

Salary: £24,465 a year pro ratio (£12.51 per hour)
