Job summary

Cardiff and Vale University Health Board in Bath is seeking a proactive Medical Secretary to join the General Surgery Department. The role provides comprehensive administrative support, manages RTT referrals, patient correspondence and appointment coordination with accuracy and speed.

You will work within a multidisciplinary team, handling calls, typing letters and maintaining patient records to support safe, timely patient care in a fast-paced NHS setting.

  • Manage incoming correspondence via email from patients, GPs and other departments.
  • Ensure clinician correspondence is typed, edited and sent promptly, and track diagnostic reports.

Job description

Key Responsibilities
  • Provide a complete and comprehensive medical administrative service including Referral to Treatment (RTT), patient correspondence and editing and formatting letters.
  • Working as part of a multidisciplinary team, sharing responsibility for the smooth running of the administrative service to deliver safe patient care
  • To be a first point of contact, answering all telephone enquiries, taking and relaying messages in a polite and helpful manner, and using own judgement to establish the priority of issues and taking action as appropriate.
  • To deal with incoming correspondence via email from patients, GPs and other departments, using initiative as appropriate to expedite issues and administer patient appointments when necessary.
  • Ensure that correspondence from clinicians is typed, edited and sent promptly and accurately, and keep track of diagnostic reports to ensure that patients receive their results in a timely manner.
  • To assist in the fast track treatment for patients with cancer and to ensure referrals to other healthcare professionals are forwarded promptly.
  • To ensure patient data and records are up to date and accurate, including: checking patient outcomes are recorded correctly, administration of the RTT pathway, appointments and surgical procedures are requested, uploading clinical information as directed and facilitating transfer of care.
