Job summary

Real Chemistry is hiring a Project Manager for our Medical Affairs team. The role is hybrid and can be based in US offices (New York City, Boston, Chicago or Indianapolis) or remote within the US, with duties spanning initiation to closeout of medical affairs projects.

You will lead timelines, budgets, and cross-functional collaboration with Account, Scientific/Medical, Editorial, Creative, Studio, and Technology teams while ensuring client expectations are met.

Qualifications

• 3+ years of Project/Program Management or relevant experience.
• 2+ years of experience in budget management.
• Experience with medical, legal, regulatory, and client reviews.
• Background in medical affairs, scientific communications, or related non-promotional healthcare projects.
• Proven track record of leading small- to mid-scale projects from conception to completion.
• Strong cross-functional collaboration with medical/scientific, editorial, account, creative, and PM partners.
• Proficient in creating timelines and tracking progress against schedules.
• Excellent written, verbal, and interpersonal communication.

Responsibilities

• Clearly communicate expectations to internal teams and vendors to support the efficient flow of work throughout the agency.
• Partner with key agency teams to ensure projects stay on track and milestones are met.
• Plan, schedule, and monitor work to meet timeline, budget, and quality goals.
• Collaborate with finance and accounting teams on revenue recognition/invoicing processes.
• Participate in client and stakeholder meetings with clear understanding of project status and timelines.
• Perform risk planning and mitigation to minimize project risk.
• Develop detailed work plans, schedules, and status reports to keep teams aligned.
• Serve as a day-to-day project lead coordinating reviews and signoffs.
• Ensure signoff prior to milestones including core team review and client review.
• Coordinate deliverables from concept through delivery with appropriate reviews and handoffs.
• Support adherence to agency process and manage the quality assurance phase.
