Job Description:
Key Responsibilities
- Manage the production of documents and check returned work produced by the Document Production team for accuracy and formatting before it is passed to the relevant lawyer.
- Handle client-related calls, messages, and communication effectively.
- Manage interactions, add new prospects, clients, contacts, activities, and business development information.
- Maintain up-to-date client-specific protocols, implement and provide guidance and training where necessary.
Administrative
- Open and close files, supervise filing and record-keeping, and produce engagement letters ensuring compliance.
- Monitor key dates for clients and ensure procedures are up-to-date.
- Support fee earners in business development activities, including preparing pitches and scheduling meetings.
- Manage diaries, travel arrangements, meeting rooms, agendas, and circulate papers.
- Produce and maintain Excel spreadsheets as required.
- Serve as the first point of contact for queries, providing exceptional client service and promoting ownership within teams.
- Coordinate internal newsletters and briefings.
- Receive instructions via digital dictation and act upon them.
Communication
- Maintain relationships with fee earners and clients, ensuring high support levels.
- Support colleagues and liaise with other departments as requested.
- Answer calls for team members when away and participate in telephone rotas.
- Take minutes, follow up on actions, and liaise with the Legal Support Manager.
- Manage absences, arrange cover, and communicate accordingly.
- Assist with billing, review time allocations, and handle financial transactions.
Processing
- Manage priorities and workloads, ensuring deadlines are met.
- Create and maintain data rooms and client information systems.
- Ensure data accuracy and compliance with policies.
- Handle online applications, searches, and form submissions.
Customer Service
- Arrange and attend team meetings.
- Take instructions from fee earners, liaise with managers, and update service users.
- Offer assistance proactively and demonstrate excellent communication skills.
Qualifications and skills include managing client-facing tasks, investigating issues, being conscientious, a team player, adaptable, discreet, well-organized, and proficient in Microsoft Office.
