Legal Secretary / Front of House Assistant

We are currently seeking a legal secretary/front of house assistant to join our Henley-in-Arden office.

Working hours: 9am to 5pm, Monday to Friday (37.5 hours) OR 9am to 5pm, Monday to Thursday (30 hours)

Our Private Client Department is one of the largest teams in the Midlands, with a national reputation and top-tier rankings in both Chambers and the Legal 500. The team provides expert support on all aspects of private client law, including wills, trusts, estates, tax planning, and services for elderly and vulnerable clients.

As a Legal Secretary / Front of House Assistant, you will be based at our small Henley-in-Arden office, providing friendly and efficient front-of-house services to clients and visitors. You will also support fee earners with administrative tasks, acting as a liaison between clients, fee earners, and professional contacts to ensure smooth operations.

Key Responsibilities
Front of House:
  • Greeting visitors and being the first point of contact.
  • Preparing refreshments for clients and contacts.
  • Ensuring meeting rooms are set up for scheduled meetings.
  • Managing stationery supplies and room bookings.
  • Being a key holder, opening and closing the office as required.
  • Directing contractors and visitors appropriately.
  • Handling postal duties and meter readings.
  • Running errands to support office operations.
Administrative and Document Support:
  • Assisting fee earners with tasks including digital dictation.
  • Drafting correspondence and legal documents such as Wills, Codicils, and Lasting Powers of Attorney.
  • Inputting client data and managing files using legal practice management software.
  • Preparing engagement letters and managing file closures and archiving.
Client Communication & Liaison:
  • Interacting with clients via in person, email, and phone, taking detailed notes.
  • Scheduling client appointments and updating diaries.
  • Gathering information for meetings and assisting with client ID checks.
Compliance & Office Management:
  • Supporting compliance documentation and client onboarding.
  • Assisting with legal document engrossment and document management.
  • Managing client records and financial transaction slips.
  • Retrieving and archiving documents as needed.
Team Support:
  • Performing additional tasks to support the team and management.
Qualifications and Skills:
  • Excellent typing and organizational skills.
  • Ability to work independently and as part of a team.
  • Strong client service skills and relationship-building abilities.
  • Proficiency in Microsoft Office Suite.
  • Proactive, adaptable, and committed to continuous improvement.
  • Experience in secretarial or administrative roles within a Private Client team is preferred.
