Description

Company: Shakespeare Martineau
Term: Permanent
Working hours: Full-time
Team: Private Client
Location: Nottingham - 4 days a week on-site and 1 working from home once settled
What you will be doing:

You will act as a trusted liaison between fee earners and clients, as well as communicate with internal central teams to facilitate smooth outcomes. Your responsibilities include:
  • Being a key point of contact for the Private Client team
  • Assisting fee earners with progressing client files, including client communication, correspondence, and arranging meetings
  • Handling initial client liaison in person and over the phone, providing detailed notes and updates
  • Conducting land registry, bankruptcy, and lawyer check searches
  • Communicating regularly with professional bodies, such as banks, HMRC, and the probate registry
  • Arranging invoice payments and preparing cheques
  • Drafting correspondence and managing trust and estate matters
  • Setting up beneficiary payments and preparing legal documents like Wills and Powers of Attorney
  • Performing basic account reconciliations in Excel
  • Drafting client and probate correspondence, collating information for fee earners, and managing files
  • Updating case management systems and handling post
  • Managing diaries and scheduling meetings
  • Recording payments and managing payments including foreign and cheque requests
  • Engrossing legal documents and liaising with team members to ensure progress
  • Supporting remote and in-person office activities as needed
What you will need:

  • A graduate with a passion for working in a Private Client team
  • Previous administrative experience in a legal or professional services environment (preferred)
  • Organized and methodical
  • Proficient in IT, including Word, Excel, and PowerPoint
  • Excellent interpersonal skills, emotional intelligence, and empathy
  • Enthusiastic, proactive, and open to new ways of working
