Job description

Job Purpose

To provide administrative support for the processes and procedures relating to teaching provision in the School of Psychology and Neuroscience. To provide information, advice and front-line support service to prospective, new and continuing students. To support staff and colleagues involved in teaching and teaching administration. To provide administrative support for delegated operational activities.

Main Duties and Responsibilities

1. Provide administrative support for a wide range of operational and teaching functions, applying detailed knowledge of appropriate standard operating procedures and working practices, exercising initiative and judgement to ensure effective service delivery and suggesting and implementing improvements. Also facilitate and provide administrative support to members of the academic teaching team in the conduct of their duties.

2. Work closely with relevant Programme Lead(s) of Learning and Teaching to provide administrative support for programmes and courses, organise and clerk exam board meetings and staff/student liaison committees (SSLCs).

3. Manage administrative support for Attendance Monitoring of students on relevant programmes.

4. Manage all pre-session undergraduate course/programme administration, including: production of Course Information Documents, support School Timetabler in managing teaching event bookings and updating MyCampus as required.

5. Responsible for aspects of the assessment/examination process: contribute to the production of assessment and feedback calendars, prepare and upload papers for written and online assessments/exams, ensuring submission deadlines are met; maintain relevant Moodle sites. Responsible for administering coursework and exams including recording of assessment grades.

6. Interrogate student data to ensure accuracy of records and data reporting and liaise with central services (eg Registry, Finance) to ensure accuracy of student records. Make extensive use of MyCampus throughout the year to identify any issues or anomalies.

7. Clerk School Committees using University systems as appropriate, ensuring that documentation is issued in a timely manner, monitoring and following up action points to conclusion, and maintaining the committee action log.

8. Support student recruitment and conversion activities; prepare programme and course induction meetings; prepare and upload to PIP student handbooks for undergraduate programmes and courses, assist with maintenance of course Moodle sites.

9. Produce results from course evaluation questionnaires (EVASYS) and provide data for student feedback and annual course monitoring reports.

10. Support the School Senior Adviser of Studies, ensuring progression and advising of all undergraduate students is administered throughout the year. Work closely with the college advising teams, enabling annual progression across all colleges within the Psychology programme.”

11. Duties of the post outlined here are not exhaustive, the postholder will be expected to be co-operative and flexible and undertake such other duties as may be reasonably expected by management. The duties of the post will be subject to review in line with changing requirements, both internal and external.

Knowledge, Qualifications, Skills and Experience

Knowledge and Qualifications

Essential:

A1. SCQF Level 7 (HNC, SVQ Level 3) or equivalent and relevant work experience.

A2. Comprehensive knowledge of Microsoft Office 365 (Word, Excel, Teams, and Outlook).

Desirable:

B1. Knowledge and understanding of University regulations relevant to undergraduate students.

B2. Relevant experience of a Higher or Further Education environment.

B3. Working knowledge of activities of other areas of the University that relate to support for undergraduate students.

Skills

Essential:

C1. Excellent organisational skills and a proven ability to plan and prioritise work efficiently and multi-task whilst producing work of a high standard and to deadlines.

C2. Excellent interpersonal skills with the ability to work as part of a team and deliver first-class support to colleagues and customers, demonstrating tact, diplomacy, and assertiveness to build excellent relationships.

C3. Ability to work discreetly and sensitively, whilst maintaining confidentiality, when dealing with challenging situations.

C4. Ability to create, maintain and interrogate spreadsheets.

C5. High degree of accuracy and attention to detail.

C6. Proven ability to work autonomously and proactively using own initiative to resolve problems, consulting with senior colleagues as appropriate.

C7. Proven ability to work with bespoke IT systems such as student records systems.

C8. Ability to communicate effectively in writing to a high standard for the purposes of student documentation, correspondence, developing content for Moodle/web site.

Experience

Essential:

E1. Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role providing high level support for staff and students.

E2. Experience of organising and providing administrative support to (clerking) meetings/committees, producing accurate minutes to tight deadlines and follow through on actions.

E3. Demonstrable experience of working in a fast paced, customer focused environment.

E4. Evidence of personal progression and development gained through work experience.

E5. Significant administrative experience demonstrating the ability to drive change to improve both systems and processes in place.

E6. Experience of excellent service delivery and building customer relationships.

Desirable:

F1. Experience of analysing data and producing pivot tables, graphs and charts in Excel.

Terms and Conditions

Salary will be Grade 5, £26,338 - £30,805 per annum.

This post is full time and fixed term for up to 12 months from start date.
