Job summary

Stewarts is seeking a Learning and Development Administrator to support the L&D team in implementing the learning strategy. This role coordinates internal training, manages admin tasks, updates learning records, and maintains the intranet.

You will oversee the LMS day-to-day, manage users, courses, events, and the on-demand library, while assisting with QRGs, videos, and training materials. A strong IT skill set and proactive, collaborative approach are essential.

Responsibilities

  • Coordinate and schedule a busy diary of training events, reserve training rooms, configure technology, and prepare materials.
  • Liaise with external training suppliers for administrative requirements (letters, NDAs).
  • Coordinate with internal and external stakeholders to ensure smooth training events, send reminders, and distribute materials.
  • Collect attendance data and support reporting through QR codes and other tracking methods.
  • Provide post-training admin support, summarize feedback, and draft follow-up correspondence with providers.
  • Support L&D with diary management, travel arrangements, expenses processing, and creating digital materials.
  • Manage the Learning Management System (LMS): users, courses, events, on-demand library, and training records.
  • Assist with uploading QRGs, videos, and embedding media.
  • Help ensure risk and compliance obligations: assign mandatory training and monitor completion.
  • Collaborate with other Business Services teams on projects requiring L&D admin support.
  • Maintain electronic filing and keep supplier CRM records up to date.
  • Support onboarding and learning programs for new joiners.
  • Process training-related invoices and allocate costs across departments.
  • Demonstrate strong IT skills (Teams, Excel, Outlook, PowerPoint, Word).
  • Exhibit excellent communication, organization, initiative, and deadline adherence.
  • Experience with Vimeo (or similar), Canva, Copilot, and LMS (pref. Docebo).

Job description

Job title: Learning and Development Administrator

Reporting to: Senior Learning and Development Executive

Department: Learning and Development

Purpose of role: The role supports the L&D team to successfully implement and manage the learning and development strategy. To support the coordination of all internal training, support with all administrative tasks, update and maintain learning records and the firm’s intranet.

Hours: Permanent, full-time.

Reviewed: September 2026

Job responsibilities:

  • Co-ordinate and schedule a busy diary of training events. This includes ensuring that training rooms are reserved, configured appropriately and that technology (both physical and Teams), equipment, catering and training materials are available.
  • Liaise and correspond with external training suppliers for L&D administrative requirements, e.g. confirmation letters and non-disclosure agreements.
  • Liaise with key internal and external stakeholders to ensure the smooth running of training events. This includes, meeting speakers and all other related administration, e.g. sending reminders of training events and requesting and distributing training materials.
  • Collect attendance and support training reporting through QR codes and other tracking methods.
  • Provide post-training administrative support such as creating and summarising feedback forms and other feedback tools, collating and typing actions from training events and undertaking post-training correspondence with training providers.
  • Support the L&D team with internal administrative tasks, e.g. general diary management, travel arrangements, processing expenses, maintaining spreadsheets, collating information for reports and assisting with the creation of digital materials.
  • Manage the day-to-day running of the firm’s Learning Management System (LMS). This might involve managing users, courses and programmes, adding and publicising events and maintaining our on-demand library and training record. Assist with uploading Quick Reference Guides (QRGs), uploading, editing and embedding videos etc.
  • Help to ensure that the firm meets its risk and compliance obligations including assigning mandatory training and monitor completion.
  • Work closely with the other Business Services teams to provide L&D admin support for various projects and initiatives as necessary.
  • Electronic file management, ensuring filing is up to date and correct and that information is easily accessible.
  • Maintain contact records for all training suppliers within the firm’s CRM system.
  • Support onboarding administration and learning programmes for new joiners.
  • Administer external training bookings, liaising with providers and delegates.
  • Process training-related invoices and ensure accurate allocation of costs across departments
  • Strong IT skills including using Teams, Microsoft Excel, Outlook, PowerPoint and Word.
  • Demonstrates excellent communication and interpersonal skills (respectful, positive, articulate, professional and empathetic).
  • Well organised, uses initiative, prioritises appropriately, proactive, shows strong attention to detail and meets deadlines.
  • Experience with using Vimeo (or other video editing software), Canva, Copilot and a LMS (preferably Docebo).
  • Delivers services with a “can do” and when necessary, a “hands on” approach.
