Overview

As Import Coordinator, you will be responsible for managing and controlling the end-to-end import process, ensuring the timely, compliant, and cost-effective movement of goods into the business. You will act as a key point of contact for suppliers, freight forwarders, and internal stakeholders, supporting operational efficiency and maintaining high levels of service.

The aim of the role is to maximise operational efficiency and supplier performance by ensuring inbound shipments are delivered on time, fully compliant with import regulations, and supported by a proactive, detail-focused, and solutions-driven approach.

Key result areas include ensuring import compliance, minimising inbound freight and duty costs, maintaining accurate documentation, and providing analysis to support continuous improvement within the shipping and logistics function.

Responsibilities
  • Manage the end-to-end import process, from supplier collection through to final delivery on site
  • Prepare and review all import documentation, including commercial invoices, packing lists, and customs declarations
  • Ensure full compliance with HMRC and international import regulations, including commodity codes, customs procedures, and duty/VAT requirements
  • Liaise closely with suppliers, freight forwarders, and customs agents to ensure smooth and timely clearance of goods
  • Track and monitor inbound shipments, proactively managing delays, issues, and escalations
  • Ensure all import entries are accurate and completed in a timely manner to avoid delays or penalties
  • Maintain and develop strong relationships with freight forwarders to secure competitive rates and reliable service
  • Monitor and control inbound freight costs, identifying opportunities for consolidation and cost reduction
  • Work closely with purchasing, production, and stores teams to align delivery schedules with operational requirements
  • Maintain accurate records of all import activities to support audit and compliance requirements
  • Ensure the business system (IFS) is updated with accurate and timely shipment and delivery information
  • Provide clear and accurate communication in response to internal and external queries relating to inbound shipments
  • Assist with returns to suppliers where required, including export work where necessary
  • Contribute to the development and monitoring of KPIs to improve import performance, cost control, and compliance
Qualifications / Who we\'re looking for

To apply, you will be an experienced Import Coordinator or Import/Export Coordinator, with a strong background in managing inbound logistics and customs processes, ideally gained within an engineering or manufacturing environment. You will also have exposure to export activities, with an understanding of export documentation and compliance requirements.

You will be able to demonstrate a proven track record in a similar role, with particular strength in import procedures, customs compliance, and supplier/freight forwarder coordination.

You will have excellent communication skills, with the ability to build effective working relationships with suppliers, freight forwarders, and internal stakeholders. You will remain calm under pressure, able to manage multiple shipments and deadlines simultaneously.

Highly organised, you will demonstrate strong attention to detail and time management skills, with a proactive approach to problem solving and continuous improvement.

A good working knowledge of Microsoft Office packages and ERP systems (ideally IFS) is essential.
