Job description

K-bro is looking for a proactive, organised and detail-focused HR and Operations Administrator to join our team in Slough.

This is a varied role providing administrative support across both Human Resources and Operations, helping to ensure the smooth running of our day-to-day activities. The successful candidate will work closely with managers and teams across the business, providing practical administrative support, maintaining accurate records and helping ensure that company processes and compliance requirements are met.

The ideal candidate will have previous experience within HR administration, operations administration or a similar administrative role and will be confident working in a fast-paced environment where priorities can change.

Knowledge or experience of audits, compliance and CAA requirements would be highly desirable, although full training will be provided where required.

Key Responsibilities
Operations Administration
  • Coordinate and support daily operational administration, helping to ensure processes run smoothly across the site.
  • Provide administrative support to the Operations Manager and wider management team.
  • Maintain accurate records relating to operational activities, stock, suppliers and site requirements.
  • Coordinate weekly and monthly stock takes and maintain appropriate records.
  • Manage office and operational supplies, including monitoring stock levels and arranging replenishment where required.
  • Liaise with suppliers and vendors, including assisting with purchase orders, invoices and general supplier queries.
  • Prepare and distribute operational reports, including KPI and site performance information.
  • Support operational projects, initiatives and process improvements.
  • Liaise with the Production Team regarding deliveries, despatches and operational timings.
  • Assist managers with general administrative tasks and provide support where required to help resolve day-to-day operational issues.
  • Maintain accurate and organised documentation and ensure information is readily available when required.
HR Administration
  • Support the onboarding process for new employees, including preparing offer letters, contracts, welcome packs and associated documentation.
  • Maintain accurate employee records and ensure HR documentation is kept up to date.
  • Monitor and track employee attendance, holidays and absence information.
  • Support managers with HR administration and employee-related queries where appropriate.
  • Assist with HR audits and ensure relevant documentation and records are available and maintained.
  • Support the tracking of mandatory training, employee compliance requirements and other HR initiatives.
  • Assist with the preparation of information and documentation for internal and external audits.
  • Maintain confidentiality when handling employee and business information.
  • Support the HR team with general administration and ad-hoc projects as required.
Compliance & Audit Support

The successful candidate will be expected to develop a good understanding of Aeroserve's compliance requirements and assist with maintaining appropriate records and documentation.

Responsibilities may include:
  • Supporting internal and external audits.
  • Maintaining audit documentation and evidence.
  • Tracking actions and ensuring required information is obtained from managers.
  • Supporting managers with compliance-related administration.
  • Helping ensure employee and operational records are accurate and up to date.
  • Assisting with the implementation and monitoring of compliance processes.

Knowledge or previous experience of CAA compliance, aviation-related regulations or working within an aviation environment would be a significant advantage, but is not essential.

Supporting Managers

A key part of this role will be working alongside managers across the business.

The successful candidate will be comfortable approaching managers, requesting information, following up on outstanding actions and helping managers complete HR, operational and compliance-related tasks.

You will need to be confident, professional and approachable, with the ability to take ownership of tasks and provide practical support rather than simply completing administrative duties.

Skills & Experience
  • Previous experience in an HR, operations or general administration role.
  • Strong organisational skills and excellent attention to detail.
  • Ability to manage multiple tasks and meet deadlines.
  • Excellent written and verbal communication skills.
