Mileway is looking to recruit an HR Specialist to become part of our HR team in Amsterdam. You will work on local and international HR topics, where your hands-on mentality and visionary mindset will help us grow further. We’re professionalizing our HR department, and you can be part of this process, share your ideas, and learn everything about setting up HR in an international scale-up environment. The purpose of your job is to streamline, organize, control, and execute all HR administration for our European offices (the Netherlands, United Kingdom, Luxembourg, Germany, France, Italy, Spain, Sweden, Denmark, Finland, and growing), with an eye for detail, accuracy, and efficiency. You will work closely with your HR Specialists colleagues.

You will report to the Manager of HR Operations and collaborate with HR Business Partners, employees, and suppliers. The HR team consists of 4 HR Business Partners, 3 Recruiters, 5 HR Specialists (including this vacancy for HR Process & Data Specialist), DEI Specialist, L&D Manager, C&B Manager, and the Head of People.

Working at Mileway We offer an opportunity you simply won’t find anywhere else. Launched in 2019, Mileway has rapidly grown into Europe’s leader in last-mile logistics real estate, with a team of over 550 across more than twenty offices in 11 countries. We aim to be a different kind of real estate company, with a cloud-based IT infrastructure and a team that combines local expertise with the strengths of a pan-European presence.

Our culture is fast-paced and highly international, with team members from more than 50 countries, bringing diverse perspectives and a “can-do” attitude. Our purpose is to be Europe’s leading provider of last mile logistics real estate, enabling businesses to thrive, driving sustainability forward, and shaping the cities of tomorrow. We live by our values: Drive, Trust, Grow, Together.

We believe growth comes from supporting the development of our capabilities. We offer an in-house learning & development program for personal, professional, and business growth, helping you carve out your own career path. You’ll be based at our London City office. While we embrace flexible work, our policy requires working from the office three days a week. We provide a state-of-the-art technology package to keep you connected.

What You’ll Do

  • Manage the full employee lifecycle: contracting, onboarding, and offboarding
  • Process monthly payroll mutations, review payroll output, and ensure accurate and timely salary payments
  • Serve as the first point of contact for employee HR-related queries
  • Support immigration and expat processes, including applications and compliance with local labor laws
  • Coordinate with external vendors on insurance, social security, pension, and other benefits
  • Maintain and improve our HRIS (SAP SuccessFactors) for data accuracy and process efficiency
  • Handle digital personnel files, staff correspondence, contract changes, and HR documentation
  • Manage absence administration (e.g., sick leave, parental leave, long-term illness)
  • Prepare and analyze country-specific HR reports
  • Drive and support HR projects, from process improvements to policy implementation

What You’ll Bring

  • Preferably a Bachelor’s degree in Human Resources, Business Administration, or related field
  • Up to 10 years’ experience in HR Operations, preferably in an international setting
  • Proven experience managing payroll processes and mutations
  • Strong communication skills in English (additional European language is a plus)
  • Advanced Excel skills and strong command of HR systems (preferably SAP SuccessFactors)
  • Ability to act with urgency, suggest and implement improvements, and manage multiple priorities
  • High attention to detail and a strong sense of confidentiality and integrity
  • Solid understanding of local payroll, labor laws, and compliance requirements
  • Enthusiasm for digitizing and optimizing HR processes
  • A flexible, collaborative mindset and a positive, solution-oriented attitude

Our vision is to be the number one gateway to urban communities. To get there, we live our values: Drive, Trust, Grow, Together.
