Role and Purpose
As HR & People Assistant at Flix Interactive, you’ll play a central role in supporting every stage of the employee journey, from onboarding to offboarding and everything in between. This role is ideal for someone who thrives on process, communication, and creating a great team experience and culture. Working in the Flix Operations team and reporting directly to the Operations Manager, this role covers all elements of HR and is perfect for anyone who seeks variety where each day brings new challenges and experiences.
Responsibilities:
People Support
- Serve as the first point of contact for employees and managers for all HR guidance, policy clarification, and day-to-day people operations/HR support.
- Including but not limited to queries regarding pay, pension, GDPR , absence policies, abroad working and team perks.
Team Performance and Conduct Management
- Partner with managers on all performance, conduct, absence, and employee relations issues, escalating complex matters as appropriate.
- Assist leads and managers with effective objective setting including introductions and implementations of personal development plans where required.
- Assist leads and managers with effective goal setting for performance reviews for team development, ensuring company-wide team goals are included.
- Run 3 month and 6 month probationary reviews alongside line managers, discussing team members’ progression at a mid-way check-in to ensure effective assessment of progress.
- Discuss sensitive matters with team members such as high absence, any AWOL and disciplinary procedures.
- Liaise between line managers and team members for any leadership/line management changes to ensure team members are supported in these transitions.
- Investigate, pitch and implement team retention strategies and new company benefits.
- Advise, conduct training and put guides together for effective 1-1’s.
- Organise in-office events, meetings, and team connection moments that support our hybrid culture.
- Implement and lead projects to improve employee engagement, satisfaction and motivation.
- Work with the Studio Head and CEO to develop clear career paths and progression for team members.
Business Support
- Ensure adherence to labour laws and regulations, including but not limited to employment contracts, wage and hour laws, and workplace safety standards.
- Liaise and work with the accountants for payroll submissions into the payroll portal, collating all new starter and leaver information, adjustments and deductions, promotions and NI updates.
- Support contractors with invoicing processes monthly, including development documentation sign-off.
- Implement new processes and systems to improve our HR and team support practices.
- Investigate and implement Health & safety and GDPR team training to remain complaint with clients.
- Implement and support health & safety practices in the office and WFH offices, working with internal teams and external providers.
Recruitment, Onboarding & Offboarding
- Alongside the recruiter, conduct interviews for all roles and act as the ‘central’ and consistent interviewer, advising our hiring managers and teams on how best to interview candidates to get the most out of our interviews.
- Alongside the recruiter and IT team, conduct personnel onboardings including all associated administrative tasks, right to work checks, contract creation and onboarding days.
- Conduct the offboarding process where necessary including exit interviews, retention discussions and all associated administrative tasks.
- Alongside the recruiter, attend educational and industry events (both virtual and in-person) to represent Flix.
- Attend as a speaker, panellist and attend expos at events to discuss recruitment best practices and raise visibility of our studio to potential candidates.
- Provide portfolio and CV reviews.
Administrative
- Track any Visas with expirations and obtain new Visas where necessary.
- Manage the clock in/out system.
- Implement and manage any required timesheet processes and software when required.
- Manage the HRIS system, acting as super user and ensuring all records are updated, troubleshooting any queries, and liaising with HRIS customer support wherever necessary.
- Provide HRIS reports to managers and leads when required.
- Ensure compliance with UK and EU data regulations for all personnel systems.
- Ensure HR Management database is kept up to date and organised with all personnel files and is compliant with GDPR .
- Create, monitor and update company policies, alerting team members of all updates.
Requirements:
- Based in the Midlands area and able to commit to hybrid working.
- 3+ years experience in an HR role.
- Previous administration experience.
- Ability to self-manage and prioritise workload.
- Passion for ensuring accurate administration and reporting.
- Friendly and positive personality that gets enjoyment and satisfaction out of making things run smoothly and ‘making things happen’.
- A very strong work ethic and self-motivation; a sense of ownership and responsibility to drive outcomes.
- Excellent people-skills — the ability to communicate, influence, build alliances, network and work well in a team.
- Excellent written and verbal communication skills in English.
- Ability to work well independently and under pressure, manage multiple projects simultaneously, and meet deadlines.
- A positive, can-do, hands-on attitude. You must be willing to help with a range of tasks, some of which may be repetitive and unglamorous, and some of which may be unrelated to your core tasks.
- A high degree of organisation and efficiency.
- Experience in successfully creating and managing systems in a growing company environment.
- Confidence in liaising directly with C-suite and director level team members – being able to present ideas and suggestions eloquently, as well as have the skillset and confidence to counter-propose, presenting solutions in a respectful manner.
Desirable Skills & Qualifications:
- Health & Safety Trained ( IOSH ).
- First Aid trained.
- Basic Life-Saving trained would be a huge plus!
