HR Assistant/ HR Admin - Ipswich (Fixed Term Contract for 1 Year)

We are looking for a dynamic HR Assistant/ Admin. This role reports to the Human Resources Manager and is responsible for ensuring the smooth operation of the Company’s policies and procedures for Human Resources and payroll administration throughout the organisation and associated companies. This includes compliance with internal processes & controls. End-to-End Agent Level Recruitment competency is also required & critical for this role.

Summary of Recruitment & HR Duties:
  • Agent Level Recruitment – End to End Recruitment for Ipswich.
  • Sourcing, Scheduling, Issuing Offer Letters & ensuring candidates join timely & within SLAs.
  • Managing the Starters and Leavers process (including offer letters and contracts, references, induction, resignation letters, and account activation/deactivation).
  • Producing and maintaining HR documentation, ensuring all information/documentation is received and filed accordingly in electronic and hard copy formats.
  • Supporting HR processes, including attendance, maternity and paternity, flexible working, disciplinaries and grievances, dismissals, PIPs; ensuring compliance with relevant legislation.
  • Managing the internal recruitment process: sourcing agencies, signing them up to the Preferred Supplier List, monitoring agency performance, seeking internal vacancy approval, advertising roles, arranging interviews, and communicating offers and rejections.
  • Maintaining employee HRIS, attendance, and holiday records.
  • Reviewing and updating employee personnel files.
  • Assisting the HR Manager in reviewing scopes, statutory & regulatory aspects, process controls, etc.
Payroll:
  • Sending data to offshore payroll team in line with deadlines.
  • Processing new starters, internal changes, and leavers.
  • Monitoring absenteeism and making deductions where necessary.
  • Collating additional payments such as overtime, bonuses, and commissions.
  • Managing attachment of earnings payments.
Ad-Hoc Duties:
  • Maintaining the Company Eye Care Scheme.
  • Organising external training courses.
  • Ensuring the company has the required number of Fire Marshals and First Aiders, with up-to-date qualifications.
  • Minute taking on an ad-hoc basis.

Any other duties as required.

Minimum Requirements:
  • Educated to GCSE Level or equivalent.
  • Good communication and interpersonal skills.
  • Good organisational skills.
  • Proficient in MS Office applications.
  • Numerate and able to accurately handle payroll data.
  • Ideally CIPD qualified (CPP).
  • Skills in Planning and Organising, Payroll, Recruitment, Monthly Reporting, and Employment Law.

Note: Preference for local candidates to Ipswich as this is an office-based role. Immediate availability is preferred.
