Responsibilities

Owen Reed is looking for a professional, polished and service-driven Client Hospitality Assistant for a top law firm in London.

Department: Reception & Client Services

Reports to: Reception & Client Services Manager

Location: London

Working Hours: Alternating weekly shifts of 8:00 a.m.–4:30 p.m. and 9:30 a.m.–6:00 p.m., covering core reception hours from 8:00 a.m. to 6:00 p.m.

Role Overview

The Client Hospitality Assistant plays an important role in creating a professional, welcoming and seamless experience for internal and external clients.

Working closely with the Reception & Client Services Manager and Client Hospitality Coordinator, the role provides high-quality hospitality support across meeting rooms, reception areas and office floors. Responsibilities include preparing meeting rooms, serving refreshments, supporting events, maintaining hospitality facilities and ensuring all service areas are clean, well stocked and professionally presented.

Flexibility will occasionally be required to support early-morning breakfasts and evening events outside normal working hours.

Key Responsibilities
  • Deliver a consistently high standard of hospitality for meetings and events across client-facing and office areas.
  • Prepare and serve refreshments and catering for meetings in coordination with the Client Hospitality Coordinator.
  • Set up meeting rooms with the required crockery, glassware, stationery and hospitality supplies, ensuring each room is professionally presented and ready on time.
  • Clear, clean and reset meeting rooms promptly after use in preparation for the next booking.
  • Monitor meeting schedules and communicate any overruns or room-readiness issues to Reception and the Client Hospitality Coordinator.
  • Assist with event preparation and room setup, following agreed checklists and service requirements.
  • Provide catering and hospitality support during internal and client-facing events.
  • Maintain clean, tidy and well-organised kitchens, refreshment stations and service areas.
  • Distribute milk, fruit and other supplies to kitchens across the office floors.
  • Monitor and replenish crockery, glassware, cutlery, tea, coffee, sugar, hot chocolate and milk throughout the day.
  • Clean coffee machines daily and report equipment faults or maintenance issues promptly.
  • Ensure the reception coffee and drinks station remains clean, fully stocked and professionally presented.
  • Prepare and serve drinks to clients in the reception area when required.
  • Conduct accurate stock checks and promptly report items requiring replenishment.
