# Hospitality and Events ManagerAtlassian Williams F1 TeamLondon, United KingdomPosted 24 Sept 2026## About this roleAPPLICATION DEADLINE: 16th OctoberThe Hospitality & Events Manager will own the end-to-end planning and delivery of bespoke guest management programmes at Formula 1 races. Working closely with Partners and Partner Managers, the role will translate commercial objectives into premium, seamless guest experiences that reflect the Williams brand.The role will be responsible for programme proposal, planning, execution, and on-site delivery, acting as the primary point of contact for partners while ensuring exceptional attention to detail, strong supplier management, and robust budget control.This role can be based in London OR our HQ in Grove.Main Duties:As a Hospitality & Events Manager, you will be responsible for the organisation and delivery of end-to-end guest management programmes for allocated races. This includes, but is not limited to:Guest Programme Planning & DeliveryWork closely with Partners and Partner Managers to establish objectives and requirements for each race.Develop comprehensive guest programme proposals for internal approval, aligned to partner objectives and budgets.Own the end-to-end guest journey for allocated races, from pre-event planning through to post-event delivery.Utilise guest registration portals to gather guest data, manage guest communications, and produce personalised itineraries.Maintain and update guest itineraries in real time throughout the race weekend to reflect schedule changes.Act as the primary point of contact for partners regarding guest programme delivery.Travel, Accommodation & LogisticsSource and manage accommodation solutions for guest programmes.Manage hotel rooming lists, guest lists, and on-site guest requirements.Work with suppliers to procure and manage in-country transport, including airport transfers, circuit transport, dinners, and events.Coordinate complex travel and logistics schedules to ensure a seamless guest experience.Events, Dining & ActivationsSource and book dinner reservations and venues in line with partner briefs and guest profiles.Work with partners to plan and deliver bespoke dinners and events, including creative concepts, logistics, and execution.Liaise with internal teams and external suppliers to ensure all activations meet brand and quality standards.Procure custom gifting in line with partner objectives, managing production, freight, and delivery timelines.Supplier & Budget ManagementManage relationships with key suppliers, ensuring service delivery meets agreed standards.Track programme budgets accurately, ensuring all activity is delivered within approved budgets.Maintain clear financial tracking and ensure compliance with Williams financial processes.On-Site DeliveryAttend allocated races and manage the full guest programme on site.Oversee suppliers, transport providers, hotels, and venues on site.Deliver high-touch guest hosting, ensuring a premium and seamless experience.Resolve issues proactively and calmly in a fast-paced, high-pressure environment.Team Management & CollaborationWork closely with the wider Hospitality & Events team to ensure alignment across programmes.Collaborate with internal stakeholders across Partnerships, Marketing, Operations, and Finance.Key Accountabilities:Deliver end-to-end guest management programmes to the highest standard.Maintain exceptional levels of accuracy, organisation, and attention to detail.Manage budgets responsibly and in compliance with Williams processes.Act as a professional, confident, and trusted ambassador for Williams at all times.Ensure understanding of and compliance with health and safety obligations.Work in line with Williams Values & Behaviours, encouraging others to do the same.Identify opportunities for continuous improvement in guest experience delivery.Understand and work in line with Williams Values & Behaviours, encouraging others to do the same.Ensure understanding of and compliance with health and safety obligations.Maintain personal high standards of behaviour and conduct, being a positive ambassador for the department.Ensure you adhere to brand rules and maintain high standards of department presentation.Work to quality standards and identify and contribute ways to continuously improve department and personal performance.Ensure understanding of cost cap rules and requirements.Atlassian Williams F1 Team is an equal opportunity employer that values diversity and inclusion.
