Job summary

Indevor Group in Chorley, Birchwood, Warrington is seeking a Group PA & Office Manager to support the CEO and Board. You will coordinate diaries, meetings and governance processes, ensuring confidentiality and high standards across the business.

Qualifications

Responsibilities

  • Proactively manage the diaries, meetings and priorities of the Chief Executive Officer and Group Directors.
  • Develop a detailed understanding of the working preferences, priorities and personal commitments of each Board Director.
  • Coordinate meetings and commitments whilst considering both business priorities and personal commitments.
  • Act as the primary point of contact for requests to meet with the CEO.
  • Prepare agendas, meeting packs and supporting documentation for Board, ELT and SMT meetings.
  • Attend Board and senior leadership meetings, taking comprehensive minutes and recording actions.
  • Monitor and track agreed actions through to completion.
  • Maintain and manage the Group Task Priority Schedule, providing regular progress updates to the Board.
  • Coordinate communication and information flow between the Board, ELT, SMT and the wider business.
  • Support the Board with governance, reporting, document management and administrative coordination across multiple Group companies.
  • Demonstrate flexibility in working hours where reasonably required to support Board meetings, travel and business demands.
  • Assist in planning and coordinating Board meetings, leadership events, company functions, travel arrangements and external engagements.
  • Maintain records relating to organisational priorities, strategic initiatives, cultural observations and Group Positional Status (GPS) discussions where appropriate.
  • Uphold exceptional levels of confidentiality when handling commercially sensitive information, employee matters and strategic business plans.
  • Continuously review administrative processes and recommend improvements that increase efficiency and organisation.
  • Support the Board in maintaining high standards of professionalism, organisation and accountability throughout the business.

The Opportunity

To become a trusted extension of the Chief Executive Officer and Group Board of Directors, providing proactive executive support whilst ensuring the smooth coordination of Board, ELT and SMT activity across the Group.

Key Responsibilities
  • Provide proactive, high-level executive support to the Chief Executive Officer and Group Board of Directors.
  • Act as a trusted conduit between the Board of Directors, Executive Leadership Team (ELT), Senior Management Team (SMT) and wider business.

  • Protect and effectively manage the time, priorities and commitments of the CEO and Group Directors.
  • Maintain the highest standards of confidentiality, professionalism and discretion.
  • Support the Board in maintaining high operational standards, accountability and consistency across the Group.
  • Contribute towards the continuous improvement of internal processes, communication and administrative systems.

Ideal Candidate

The ideal candidate will already be operating within a senior Executive Assistant, Personal Assistant or Executive Office position, supporting Board-level or C-Suite leaders within a fast-paced and demanding environment.

They will possess exceptional organisational skills, outstanding attention to detail and the ability to manage multiple priorities simultaneously whilst remaining calm under pressure. They will naturally build trust, demonstrate sound judgement and confidently communicate with stakeholders at every level of the business.

The successful candidate will enjoy working in an ambitious, high-performance environment where standards are exceptionally high and where they can become an integral part of the leadership team rather than simply providing administrative support.

They will be highly personable and relationship-focused, with the ability to build a genuine understanding of the Board as individuals. They will recognise that effective executive support includes understanding working preferences, family commitments and recurring personal obligations, using this knowledge discreetly to manage diaries and make the lives of the Directors easier and more organised.
