The role involves day-to-day management, property oversight, committee/AGM coordination, meeting records, regulatory liaison, insurance and safety duties, plus maintenance and contractor management.

Qualifications

Responsibilities

• Conduct day to day business of the charity and oversee the property of West Hill Village Hall.
• Call for and manage committee meetings (trustees plus employees) 5 times per year.
• Call for and manage the Annual General Meeting.
• Maintain and publish a record of all meetings.
• Maintain contact with the Charity Commission, West Hill Parish Council, East Devon District Council and other statutory bodies.
• Complete the annual return to the Charity Commission.
• Renew annual insurance cover and manage property revaluation.
• Take responsibility as defibrillator guardian.
• Renegotiate contracts for all utility suppliers.
• Show prospective clients around the hall.
• Write West Hill Village Hall’s article for publication in the community ‘Messenger’ magazine (6 times per year)
• Liaise with trustees and the Finance and Administration Officer.
• Handle queries and complaints from hall users and local residents.
• Carry out minor maintenance plus weekly and monthly checks and record them to ensure safety of the Fire Alarm and egress, water and free standing electrical equipment.
• Appoint and manage trade contractors for regular maintenance work and ad hoc requirements inside the hall and within the hall grounds.
• Erect the net on the tennis court at the beginning of the school’s summer holiday and remove it at the end of the summer holiday.
• Occasional weekend events require erection of hall equipment, about 3 times per year.
