Job summary

British International Investment (BII) seeks a skilled Portfolio Administrator to support the Portfolio Administration team with equity and fund investments. The role focuses on administration of initial investments, lifecycle events, and data verification for investees.

You will analyse reports, update BII systems, and liaise with investees to resolve late reports or data queries, contributing to accurate, timely processing and governance.

Qualifications

  • Experience in portfolio administration or fund accounting within an investment environment.
  • Organised approach with timely follow-up on outstanding issues.
  • High attention to detail and accuracy in deliverables.
  • Ability to multi-task while meeting deadlines.
  • Strong knowledge of fund and equity products and related admin processes.
  • Experience with portfolio administration software, ideally eFront.
  • Ability to build and maintain relationships with internal and external stakeholders.
  • Proficient with Microsoft Office tools, particularly Excel.
  • Experience with JIRA or another service management solution.
  • IMC or IOC qualification.
  • Motivation by development/ social goals and mission of BII.

Responsibilities

  • Perform administration duties related to initial investment transactions (bank setup, call backs, instrument setup).
  • Monitor ongoing lifecycle events, processing disbursements and distributions for Funds and Equities.
  • Analyse investee reports and verify data for entry to BII systems.
  • Review and update underlying investments in Fund investments.
  • Review new Equity commitments, restructures and exits in BII systems.
  • Monitor team inbox and assist with ad-hoc portfolio queries, analysis and reporting.
  • Flag issues with investments to Investment teams and senior management.
  • Collaborate with wider Portfolio Administration team on processes and instruments.

Team and role overview
  • The Investment Operations team is made up of three groups:
  • Data Management – responsible for ensuring investment related data is appropriate, accurate and consistent. Responsible for implementation and development of the Data Governance Policy.
  • Portfolio Administration – responsible for ensuring all transactions are processed in a timely manner and recorded accurately. Responsible for ensuring BII’s portfolio of investments is monitored for lifecycle events and administered effectively and efficiently.
  • Reconciliations and Reporting – responsible for conducting cash and stock reconciliations, and monitoring receipt and processing reporting due from investee companies, funds and borrowers.
Purpose
  • This role will sit within the Portfolio Administration team and focus on BII’s equity and fund investments.
Responsibilities
  • Perform administration duties related to initial investment transactions, e.g. bank account set up, call backs to confirm bank details and setting up the instrument
  • Monitor, check and administer ongoing lifecycle events, processing disbursements, distributions for Funds and Equities.
  • Monitor for receipt of periodic reports from investees, analyse and verify data for entry to BII systems, e.g. Audited Financial statements and quarterly Valuations. When necessary, liaise with investees to obtain late reports or query data that did not pass verification.
  • Analyse underlying investments in Fund investments and update BII systems.
  • Review new Equity commitments, restructures and exits, ensuring that they are accurately reflected in BII systems
  • Monitor the team inbox, assisting with ad-hoc portfolio queries, analysis and reporting.
  • Flag issues with BII investments to the Investment teams and senior management as appropriate.
  • Work with the wider Portfolio Administration team on other processes and instruments when needed
The candidate
Essential skills:
  • Must have suitable previous experience working within a portfolio administration function, or fund accountancy within an Investment environment
  • Organised approach to ensure timely follow up on outstanding issues and identify appropriate action to be taken
  • Attention to detail ensuring a high degree of accuracy for all deliverables
  • Ability to multi-task and balance activities without losing sight of deadlines
  • Strong knowledge of fund and equity products and the administration processed that are required to support them
  • Previous experience working with portfolio administration software, ideally eFront
  • Ability to build and maintain strong relationships with key internal and external stakeholders
  • Proficient with Microsoft Office tools, particularly excel
  • Experience working with JIRA or another service management solution
  • IMC or IOC qualification
  • Candidates should be strongly motivated by BII’s development mission and ideally demonstrate some commitment to development or social goals through previous executive or non-executive activity.
