As a Reception administrator offering a Front of House service to the Westminster office, you will be working within a corporate environment as part of a team to oversee the general day to day reception operations to provide exceptional customer service. You will be the first point of contact for people visiting our busy UK headquarters which attracts many visitors of varying levels. This role sits within the Boeing Global Enterprise Services team.

Responsibilities
  • Opening the office
  • Answering the main door to visitors and staff in a welcoming manner
  • Conduct safety briefings upon visitor arrival
  • Act as an initial point of reference in the Reception area as required
  • Manage the switchboard and answer incoming calls
  • Report and record any building issues, helping to resolve where feasible
  • Conduct visitor pre‑screening checks
  • Manage local badging activations
  • Collect and sort local mail, including franking outgoing post
  • Manage and book local hot desks, hot offices and spare offices with calendar management
  • Manage and book conference facilities
  • Manage local catering orders and support hospitality requests for multiple functions
  • Coordinate and support the set‑up of local meetings, including provision and removal of refreshments, support IT technicians and room re‑organisation (where applicable and appropriate)
  • Set up and shut down local coffee machines
  • Ensure tidiness and cleanliness of kitchen areas
  • Manage replenishment of local stock items (e.g. kitchen sundries, water)
  • Monitor usage of printer/stationery supplies and reorder as appropriate
  • Capture and record data
  • Manage and execute local delivery services
  • Support local parking arrangements
  • Support the site focal in other locally required duties when available and appropriate, including reporting any facility related issues
  • Possible support of functional projects, local site administration and functional operations
Preferred Skills and Experience
  • Excellent communication skills to work within a corporate environment
  • Team player to support the busy onsite BGES team and visitors and staff on site
  • Highly organised, motivated with the ability to multi‑task and prioritise as needed
  • Professional and friendly demeanour is essential
  • Proficient in Microsoft Office and other related software packages
  • Prior Front of House experience or cabin air crew experience is preferred along with previous success in administration

This is an ONSITE Position.

Please be advised there may potentially be the need on an infrequent basis to provide reception support across our other UK offices depending on the need.

This requisition is for a locally hired position in the UK. Candidates must have current legal authorisation to work immediately in the United Kingdom.
