Job description

Job Title: FM Administrator Assistant
Location: HMP Altcourse

About the Role:
We are seeking a proactive and detail-oriented FM Administrator Assistant to support the Facilities team at HMP Altcourse.In this vital administrative role, you will help ensure the efficient running of the Maintenance Department through accurate record-keeping, diary management, and coordination with internal teams and external contractors.

Key Responsibilities:

Maintain training records, contractor documentation, and statutory certifications.

Manage maintenance diaries, holiday records, and contractor bookings.

Operate and update the CAFM system (Maximo) for asset management, PPMs, and reactive work.

Raise and track e-permits and purchase orders.

Provide general administrative support to the Facilities Management team, including minute taking and reporting.

Support colleagues and cover absences as needed.

What We’re Looking For:

Strong administrative and organisational skills with attention to detail.

Confident using Microsoft Word and Excel.

Excellent interpersonal and communication skills.

Experience working in a compliance or facilities environment is advantageous.

A team player who can work independently and adapt to changing priorities.
