Job summary

HIVED in London is seeking a Fleet Coordinator to manage the day-to-day control, inspection and performance of our vehicle fleet, ensuring safety, uptime, compliance and cost discipline.

The role involves early detection of damage, fast recovery of repair costs, and close coordination with Maintenance and Operations to protect uptime and service reliability. It is a hands-on, depot-based position essential to operational continuity.

Qualifications

  • 1–3 years’ experience in operational or vehicle-related roles.
  • Experience with vehicle uptime, inspections, and basic repairs.
  • High urgency and strong communication; able to escalate issues.
  • Capable of handling real-time operational pressure during peak periods.

Responsibilities

  • Ensure vehicles are inspected, logged, and controlled to standards.
  • Coordinate repairs with fleet maintenance and local garages.
  • Minimise downtime by coordinating servicing and on-road breakdowns.
  • Produce fleet performance insights and improvement actions.
  • Monitor driver behaviour and safety, escalating risks as needed.

Role Overview

The Fleet Coordinator owns the day‑to‑day control, inspection, and performance of the vehicle fleet, ensuring vehicles are safe, available, compliant, and cost‑controlled.

The role is responsible for early detection of damage and risk, fast recovery of repair costs, and close coordination with Maintenance and Operations to protect vehicle uptime and service reliability.

This is a hands‑on, depot‑based role critical to operational continuity and cost discipline.

What you’ll be doing
  • Ensure all vehicles are inspected, logged, and controlled to agreed standards.
  • Carry out basic repairs where possible and collaborate with local garage for more complex repairs.
  • Coordinate repairs and servicing with Fleet Maintenance to minimise downtime.
  • Coordinate On the Road Breakdown with Fleet Maintenance/Third Party Partners to minimise downtime.
  • Protect fleet uptime through early issue identification and prioritisation.
  • Monitor driver behaviour and elevate safety or performance risks.
  • Ensure key management processes followed & regularly audit keys.
  • Ensure full compliance with health & safety and fleet standards.
  • Produce clear fleet performance insights and improvement actions.
What we’re looking for
  • 1‑3 years’ experience operating in operational roles or vehicle‑related roles.
  • Experience of working with vehicles – uptime, light repairs, vehicle inspections, maintenance & servicing.
  • High urgency, strong communication, strong escalation habits.
  • Comfortable solving real‑time operational pressure during peak windows.
  • Able to communicate effectively & build relationships & work cross‑functionally.
