Job Description

We are currently recruiting for a Financial Planning firm in London who are looking to recruit a Financial Planning Administrator. This role offers hybrid working: 3 days a week in the office and 2 days from home.

Purpose of role;

To provide comprehensive support to advisory staff, aiming to deliver a world-class service as part of the company's Client Proposition.

Duties & Responsibilities

There are five main areas of responsibility:

  1. New Business Administration and Processing
  2. Support delivery of the CW Sales Process and Client Review Process
  3. Client Servicing
  4. Maintenance of Client Records
  5. Managing and Reporting on Business Income

Assist Advisors and/or Planners with developing and maintaining client relationships, including research, preparing summaries, obtaining quotations, and processing applications.

Process new business applications, track proposals, resolve issues, and maintain records on Curo and SharePoint.

Arrange quotes for individual protection and liaise with external providers.

Process statements from providers, verify amounts, investigate discrepancies, and notify Advisors of issues.

Required Capabilities

  • Manage incoming and outgoing post
  • Prepare documents and obtain valuations for client meetings
  • Gather data on clients and prospects
  • Compile documentation for client engagement, account openings, transfers, etc.
  • Handle financial plan implementations from start to finish
  • Assist with compliance returns
  • Implement investment instructions in line with policies
  • Liaise with investment teams for queries
  • Support client enquiry processes and maintain prospect records
  • Perform general office tasks such as scheduling meetings and calls

Desired Knowledge, Skill & Experience

  • Understanding of Financial Planning
  • Knowledge of Investments, Pensions, and Life Assurance
  • Excellent organisational skills and workload planning
  • Ability to work to deadlines and think laterally
  • High attention to detail and accuracy
  • Ability to multi-task and work under pressure
  • Effective communication with clients, third parties, and staff
  • Initiative to resolve issues

Achieving or working towards the CII’s Level 4 Diploma in Regulated Financial Planning or equivalent is preferred. A related degree is an advantage but not required.

Strong administrative and communication skills, experience with delegation and task completion, proficient in Microsoft Office (SharePoint, Outlook, Word, Excel, PowerPoint), and familiarity with role-specific software (Curo, Voyant, etc.) are essential.

Minimum 1-2 years’ experience in a similar role within an IFA firm is preferred. Experience with investment managers, platforms, or other professional services (accountants, lawyers) will also be considered.
