Job Description

We are currently recruiting for a Financial Planning practice in Kingston who are looking to recruit a Financial Planning Administrator. They are looking for someone with at least 2 years of IFA admin experience and can hit the ground running. This individual needs to be very organised, confident in dealing with clients and good literacy skills are essential.

They will support anyone who would like to progress through their CII exams and there is the potential for future progression to paraplanner or adviser positions.

The Financial Administrator will work either individually, or in unison with a Financial Planner, to ensure that all the clients receive a high level of service. The Financial Administrator will be responsible for the following tasks: -

  • Maintaining the client file
  • Implementing recommendations
  • Client review preparation
  • General office administration duties

Maintaining Client Files

The Financial Administrator will be responsible for organising the client file. The Financial Administrator’s specific duties will include the following tasks: -

  • Maintain client file and ensure all correspondence is scanned and filed accurately
  • Check all required compliance paperwork is present
  • Discuss client objectives with planner
  • Establish and build strong relationships with clients and coordinate with other Administrators to ensure agreed file administration tasks are completed accurately and within timescales agreed with adviser

Implementing Recommendations

The Financial Administrator will be responsible for implementing agreed solution(s) between the client and the Financial Planner. The Financial Administrator’s specific duties will include the following tasks: -

  • Complete application/proposals forms are completed before sending to provider
  • Ensure all compliance paperwork required for application is in order and certified before sending to provider
  • Where possible, liaise with the provider to resolve any issues regarding new business applications to ensure quick resolution of any problems which might arise
  • Keep a record of new business application and status of applications
  • Make changes to clients’ investments, agreed between the Financial Planner and client

Client Reviews

The Financial Administrator, alongside the Financial Planner will act as a point of contact and deal effectively with queries from clients and other parties. The Financial Administrator’s specific duties will include the following tasks: -

  • Prepare client valuations, available cash reports and fund comparisons reports for analysis by Financial Planner
  • Obtain valuations from providers for client reviews
  • Attend client review meetings with Financial Planner, if required, to build a connection with clients and support financial planner during the meeting
  • Communicate with clients to obtain information about client assets not managed by the company for review and revision in advance of next client review meeting

Key Skills/Experience required

Essential

  • Minimum of 2 years’ experience in a financial administration role
  • Able to work within defined business processes and achieve agreed outcomes without supervision
  • Ability to multi-task, prioritise and plan own workload without direct supervision
  • Good eye for detail and accuracy
  • Excellent inter-personal skills, both written and verbal
  • Good IT, administration and office skills
  • Ability to work independently or as part of a team

Desirable

  • Knowledge of financial services products and planning solutions
  • Willingness to study for CII Diploma qualification, or equivalent, should they wish to become a Paraplanner or Financial Planner
