We are seeking a reliable, organised and detail-oriented Finance Assistant to join a busy finance team within an established organisation on a part time basis, 20 hours per week.

This role would suit someone with experience in financial administration who enjoys working with figures, maintaining accurate records and supporting the smooth day-to-day running of financial operations.

Working closely with the Finance Manager and wider team, you will assist with purchase ledger processing, purchasing, reconciliations and general financial administration. You will play an important role in ensuring transactions are processed accurately, financial procedures are followed and records are maintained to a high standard.

Key Responsibilities
  • Purchase Ledger: Process purchase orders, record delivery receipts, check expenditure codes and ensure VAT is recorded accurately within the financial management system.
  • Purchasing and Procurement: Assist with purchasing goods and services in line with internal procedures, delegated authority limits and value-for-money requirements.
  • Sales Ledger Support: Assist with outstanding debt monitoring and collection activities, helping to resolve queries and ensure payments are received promptly.
  • Financial Calculations: Support colleagues with financial calculations, costing requests and the preparation of relevant financial information.
  • Financial Controls: Help maintain effective financial oversight by checking expenditure, identifying discrepancies and ensuring transactions comply with internal procedures and applicable regulations.
  • Cash and Expense Administration: Assist with petty cash, expense claims and the recording and reconciliation of transactions, where required.
  • Card Transaction Management: Record and reconcile company card transactions, monitor balances and assist with the preparation of regular returns.
  • Financial Support Claims: Assist colleagues with the administration and submission of relevant funding or financial support claims.
  • Data and Reporting: Maintain spreadsheets, update financial information and provide administrative support to the Finance Manager and wider team.
  • Record-Keeping and Audit: Maintain accurate, well-organised electronic and paper records, ensuring supporting documentation is readily available for audit and review.
  • Supplier Management: Support cost-effective purchasing by researching alternative suppliers and ensuring appropriate approvals are obtained.
  • General Administration: Provide flexible support across the finance function and undertake other reasonable duties appropriate to the role.
  • Travel: Occasional travel between locations may be required.
About You

To be successful in this role, you will ideally have:

  • Experience in a finance assistant, accounts administration or similar financial support position.
  • A working knowledge of purchase ledger processes and general financial administration.
  • Good numerical skills and a high level of accuracy when processing financial information.
  • Strong attention to detail and the ability to identify and resolve discrepancies.
  • Confidence using financial management systems, spreadsheets and standard office software.
  • Good organisational skills, with the ability to manage priorities and meet deadlines.
  • Clear communication skills and the confidence to liaise professionally with colleagues and external contacts.
  • A proactive, flexible approach and the ability to work independently as well as within a team.
  • An understanding of confidentiality, financial controls and the importance of maintaining accurate records.

Experience of sales ledger support, reconciliations, purchasing, expense administration or working with financial procedures in a regulated environment would be advantageous.
