Job Description
Purpose of the Role
The Finance Assistant will support the Finance Manager and wider finance team by managing day-to-day financial transactions and performing key reconciliations across purchase, sales, and payroll ledgers. This role involves data entry, reconciliation, and accurate journal posting to ensure the integrity of financial records. The Finance Assistant will work to maintain timely and accurate financial data for internal reporting and assist in ensuring compliance with financial controls.
Key Responsibilities
- Purchase Ledger: Process supplier invoices, code expenses accurately, and reconcile supplier accounts. Preparation of the Monthly Supplier payment run for review by the Finance Manager.
- Employee Expenses: Input and reconcile employee expense claims in accordance with company policies, ensuring accuracy and compliance.
- Company Credit Card: Post and reconcile company credit card transactions, ensuring appropriate receipts and approvals are attached.
- Sales Ledger: Create and post sales invoices, ensure timely recording of customer payments, and perform regular reconciliations of sales ledger accounts.
- Bank Reconciliation: Process bank payment ensuring accurate coding and allocation. Complete monthly reconciliations to bank statements.
- Financial Record-Keeping: Maintain organized and up-to-date financial records, ensuring compliance with company policies and financial controls.
- Revenue and expenditure tracking: Assist the Head of finance with various revenue and cost reports and analysis
- Ad-hoc Tasks: Provide support with additional finance projects and tasks as requested by the Finance Manager.
Person Specification
Essential Skills And Experience
- Proven experience in a finance or accounts assistant role, handling purchase and sales ledgers, reconciliations.
- Working knowledge of Microsoft Excel.
- Experience with accounting software (e.g., Sage, Xero, QuickBooks, or similar).
- Strong organisational skills and attention to detail, with an ability to manage multiple tasks and meet deadlines.
- Good written and verbal communication skills, able to communicate effectively with internal and external stakeholders.
Desirable Skills And Experience
- Demonstratable Experience within a finance function.
- AAT Level 2 or equivalent qualification (or working towards it).
- Familiarity with purchase ledger supplier and sales ledger customer account reconciliations.
- Knowledge of data protection and confidentiality requirements related to financial records.
