Job summary

Reading - Full time with Sodexo. The Facilities Supervisor will support day-to-day facilities services, manage records, handle purchase orders and invoices, and assist with KPI and financial reporting.

You’ll coordinate with customers, suppliers and contractors to ensure services are delivered to a high standard. Ideal candidates have strong administration experience, facilities environment knowledge, and proficiency with MS Office and ERP systems.

Qualifications

  • Previous administration experience – essential.
  • Previous experience in a facilities, contract support or operational environment would be advantageous.
  • Strong organisational and administrative skills with excellent attention to detail.
  • Good financial awareness with experience supporting purchase orders, invoicing, cost tracking or financial reporting.
  • Knowledge of standard accounting processes, including sales and purchase ledger and credit control, would be beneficial.
  • Excellent numerical skills and confidence working with financial information.
  • Strong IT skills, including proficiency with Microsoft Office applications, particularly Outlook, Word and Excel.
  • Experience using SAP, E-ProphIT, UDC or similar finance/payroll systems would be advantageous.

Responsibilities

  • Support the day-to-day delivery of facilities services, helping ensure the contract operates smoothly, efficiently and to a high standard.
  • Provide administrative and operational support to management and site teams.
  • Maintain accurate records, documentation and filing systems, ensuring information is kept up to date and audit ready.
  • Process and monitor purchase orders, invoices and costs, supporting accurate financial management and reporting.
  • Assist with the preparation of weekly and monthly KPI, financial and operational reports.
  • Coordinate with colleagues, customers, suppliers and contractors to ensure actions are completed and services are delivered effectively.
  • Raise, monitor and follow up service requests and work orders, ensuring they are progressed and closed within agreed timescales.
  • Maintain and update contract databases and systems, ensuring information is accurate and compliant.
  • Support meetings by coordinating schedules, preparing information and recording actions or minutes where required.
  • Support audits and compliance reviews by providing accurate records and documentation.
  • Identify and elevate risks, discrepancies or service issues that could affect operational performance.
  • Take responsibility for catering and allergen controls within your area, ensuring appropriate procedures are followed.
  • Support payroll and billing processes through the relevant systems.
  • Respond professionally to customer and stakeholder queries, providing a high level of service.
  • Help identify opportunities to improve processes, efficiency and overall service delivery.
  • Manage multiple priorities and deadlines within a busy, fast-paced environment.

As a Facilities Supervisor you’ ll:

What we're looking for:
