Job summary

Paradigm Housing Group in Letchworth Garden City is seeking a Facilities Officer to ensure a safe, well-presented, compliant office environment. You will support day-to-day operations, health and safety checks, contractor coordination, and general workplace management for the Black Horse Road office, acting as first point of contact for colleagues and visitors.

This permanent full-time role offers 37 hours weekly, a salary of £32,733 plus benefits, and opportunities to improve facilities

Qualifications

  • Experience in facilities, building support or office operations.
  • Experience coordinating contractors or maintenance tasks.
  • Experience handling day-to-day building queries and office support.
  • Experience in large office environments.
  • Experience supporting compliance checks such as fire alarm tests or inspections.
  • Basic understanding of facilities management principles.
  • Familiarity with building systems (HVAC, electrical, security, access control).
  • Strong organisational skills and ability to manage multiple tasks.
  • Excellent communication and interpersonal skills.
  • Proactive, reliable and flexible with a hands-on approach.

Responsibilities

  • Support the Facilities Manager with day-to-day building operations, responding to requests and raising work orders.
  • Carry out routine health and safety checks including fire alarm tests, emergency lighting inspections, cleaning audits, workstation assessments and daily building walk-throughs.
  • Escalate risks and maintain accurate documentation.
  • Raise purchase orders, check invoices and ensure timely payment.
  • Liaise with contractors to schedule and oversee reactive and planned maintenance.
  • Maintain facilities records including asset registers, compliance logs, permits-to-work and contractor sign-ins.
  • Act as a friendly, professional first point of contact for colleagues and visitors.
  • Support the facilities helpdesk and provide updates on outstanding actions.
  • Assist with office moves, furniture setups, space utilisation checks and ensuring communal areas remain tidy and well presented.
  • Set up meeting rooms and liaise with IT where required.
  • Support access card management, visitor processes and basic security checks.
  • Monitor stock levels for essential items including stationery, first aid, cleaning and kitchen supplies.
  • Assist with emergency situations such as evacuations or building incidents.
  • Identify opportunities to improve facilities processes and workplace experience.
  • Provide ad-hoc reception cover when required.
  • Support post room operations including scanning, distribution and courier coordination.
  • Maintain accurate visitor records in line with health and safety and fire regulations.
  • Safely handle cash and cheques, ensuring they are accounted for and delivered securely.
  • Assist with general facilities tasks such as flat-pack furniture assembly and low-risk maintenance.

We are recruiting a Facilities Officer to support the smooth, safe and efficient running of our Black Horse Road office. From welcoming office environments to collaborative workspaces, you'll help ensure our facilities remain safe, professional and enjoyable places to work for everyone who uses them. You will support day - to - day building operations, health and safety checks, contractor coordination, office support tasks and general workplace management.

Working Hours & Additional Pay
