Facilities Management Works Coordinator

Salary: £24,000 per annum, 6% bonus potential, 22.5 days annual leave plus bank holidays

Full time, 37.5 hours per week

Location: Leeds Mail Centre, Leodis Way, Stourton, Leeds, LS10 1AZ

Royal Mail’s property estate includes over 1850 properties, ranging from delivery offices to automated parcel hubs. The Property and Facilities Solutions team maintains and upgrades these buildings, ensuring safety and high standards. We seek a Facilities Management Works Coordinator based in Leeds to support these efforts.

The role

You will coordinate and dispatch jobs to engineers, monitor maintenance requests, and ensure effective scheduling. You will liaise with subcontractors, manage agents and hire teams, ensuring timely completion of work, identifying at-risk jobs, and escalating issues as needed.

Using excellent customer service skills, you will handle queries via email, phone, Teams, and face-to-face interactions, supporting the Helpdesk, Engineering, and customers to maximize resources and ensure a seamless service.

Flexibility is essential as you may need to cover various tasks, including annual leave and volume demands across teams.

About You

You should demonstrate the following skills and experience on your CV:

  • Customer-focused with a first-class telephone manner
  • Experience in customer service and administration
  • Knowledge of Facilities Management services and work scheduling (beneficial)
  • Confident communicator with strong conflict management skills
  • Good organization and problem-solving skills
  • Proficiency with Microsoft Office, especially Excel (filters, formulas), high accuracy
  • Ability to prioritize and manage multiple tasks
  • Ability to attend the Leeds office 3-5 days a week
Location/Attendance

Working hours: 08:00 - 16:00, Monday to Friday, with a hybrid model of 3 days in the Leeds office and 2 days remote. Training will be on-site, potentially full-time during training. Flexibility to attend 5 days if required.

Leeds Mail Centre offers on-site parking, proximity to the city center, an on-site gym, and canteen facilities.
