Job summary

Sterling Pharma Solutions is seeking a Facilities vendor management and maintenance scheduling professional to administer and upgrade the CMMS within a GxP environment. You will manage permits, vendor inductions, budget monitoring, and safety compliance while coordinating maintenance tasks and producing SOPs.

You will participate in quality reviews, support process improvements, and deputise for the Facilities Manager on Fridays, contributing to a reliable and efficient facilities function.

Qualifications

  • GxP quality experience required.
  • CMMS experience with SAP preferred.
  • Competence with IT systems and MS Office.

Responsibilities

  • Prepare Permit To Work including RAMS.
  • Plan, schedule and coordinate maintenance/service plans.
  • First contact for visiting vendors and site inductions.
  • Negotiate contracts/quotes and prepare purchase requisitions.
  • Monitor department budgets for contracts, maintenance and utilities.
  • Supervise cleaning staff (contracted or vendor).
  • Prepare maintenance and calibration work orders and update scheduler.
  • Produce SOPs and QMS documentation.
  • Be a member of the work safety committee and implement safety actions.
  • Maintain equipment history with equipment files.
  • Prepare monthly KPIs and participate in quality review meetings.
  • Deputise for Facilities Manager on Fridays.
  • Support transition to computerised maintenance management system (CMMS).
  • Identify waste and cost savings opportunities.
  • Comply with safety, health and environmental requirements.

Job description

Facilities vendor management and maintenance scheduling role to incorporate the following responsibilities with the emphasis on the administration of the current maintenance scheduling system and any upgrades to the system as they are introduced. The role falls within a GxP environment.

Responsibilities
  • Preparation of Permit To Work to include collation of vendor insurances, Risk Assessments and Method Statements (RAMS).
  • Planning, scheduling and coordination of service and equipment maintenance schedules.
  • The first contact for visiting vendors and to perform site inductions and complete permits following current site EHS guidelines.
  • Contract / quote negotiation with vendors and subsequent purchase requisition preparation.
  • Monitoring of the department budget with regards to contract, maintenance and utilities spending.
  • First line supervision for cleaning staff whether contracted or vendor supplied.
  • Maintenance and Calibration work order preparation. Amendments as required to the works scheduler and tracking software.
  • Produce and amend maintenance tasks, SOPs and associated supporting documentation in compliance with the current QMS.
  • Membership of the work safety committee providing and implementing safety actions.
  • Maintaining equipment history with the use of equipment files for the recording of any maintenance, calibrations and supplier documentation.
  • Prepare monthly KPIs and delegate when required on behalf of the Engineering and Facilities Department at Quality review meetings.
  • Dep­utise for the Facilities Manager on Fridays, to ensure coverage throughout the week.
  • Finding and implementing ways of streamlining the current maintenance system, including supporting the transition onto a computerised maintenance management system (CMMS).
  • Identify and implement waste and cost saving opportunities within the Engineering and Facilities team.
  • Comply with all safety, health, and environmental requirements.

Key Skills and Competencies
  • A Level, HNC, minimum 5 years in a similar role, GxP Quality experience, Excel/Word/SAP with CMMS (Computerised Maintenance Management System) experience.
  • We also require candidates to be competent with IT systems, and in particular Microsoft Office including Outlook, PowerPoint, Word and Excel.
