Job summary

Tate Recruitment is seeking an Executive Team Assistant in London to provide top-class support to senior leaders and high-performing traders within a fast-paced hedge fund environment.

The role requires 3+ years of EA experience in financial services, impeccable diary and travel management, and proactive cross-team collaboration. Five days in the office, with a competitive base around £70k and generous benefits.

Responsibilities

  • Manage complex diaries and high-volume inboxes.
  • Coordinate global travel across multiple time zones.

  • Lead meeting coordination, agendas, and logistics.
  • Liaise with internal teams and external stakeholders.
  • Support senior leadership meetings and events.
  • Handle confidential information with discretion.

The Role

As an Executive Team Assistant in the London office, you will provide top-class support to senior leaders and high-performing traders, ensuring seamless operations in a fast-moving, high-stakes environment. You'll be a trusted partner-anticipating needs, removing obstacles, and enabling leaders to perform at their absolute best.

Your responsibilities will include:

  • Managing complex, ever-changing diaries and high-volume inboxes
  • Coordinating global travel across multiple time zones with precision
  • Preparing high-quality documents, board materials, presentations, and correspondence
  • Leading meeting coordination: schedules, agendas, materials, logistics, and guest management
  • Working closely with internal teams and external stakeholders as a key liaison
  • Supporting senior leadership meetings, offsites, and strategic business events
  • Handling confidential information with absolute discretion
  • Processing expenses and travel-related invoices
  • Collaborating with a high-performing EA team to ensure flawless support across the business
  • Taking ownership of process improvements, team efficiency, and seamless coverage
  • Providing additional support across projects, events, and ad-hoc initiatives

What You Bring

We're looking for an exceptional individual-hsomeone with grit, intelligence, and the confidence to operate at the highest levels.

You will have:

  • 3+ years of EA experience within a financial services environment
  • A track record of supporting senior leaders in fast-paced, pressurised settings
  • Strong diary and international travel management skills
  • Impeccable communication-clear, polished, and professional
  • Outstanding organisational capability and attention to detail
  • The ability to prioritise decisively and remain composed under pressure
  • Maturity, discretion, and confidence when liaising with senior stakeholders
  • Proficiency across Microsoft Office
  • A proactive mindset-always thinking ahead, always improving
  • French language skills are a bonus (not essential)
