Executive Personal Assistant

Elland, West Yorkshire

In this high-impact role, you'll be at the heart of our HR function, working closely with our CPO and senior leaders to deliver on our people strategy. From managing complex diaries to preparing key governance papers and supporting important projects, you'll play a vital role in keeping everything running smoothly and adapting to shifting priorities and changing business needs.

So, what's the mission?

You will manage and coordinate a busy calendar of commitments, ensuring that every moment is used effectively. Taking the lead in managing the CPO's inbox and communications, you'll use sound judgement to identify and prioritise what needs attention independently.

Your role will include arranging travel, accommodation, and managing expenses, ensuring smooth logistics at all times. You'll also handle key administrative tasks such as maintaining records, managing purchase orders, and processing invoices to ensure operations run seamlessly.

Supporting high-level governance and HR activity is central to your role. You will prepare and proofread key documents, including Board and Executive Committee papers, ensuring clarity, accuracy, and consistency. Additionally, you'll take well-structured minutes at governance meetings, such as the Pensions Governance Committee and Employee Voice Group, ensuring actions are tracked and followed up.

Confidentiality and discretion will be essential, as you'll handle sensitive matters with professionalism and integrity. You'll need to know when to escalate issues, when to act independently, and how to manage information with the utmost care.

Your communication skills will be key. Whether liaising with stakeholders, writing meeting minutes, or engaging with the wider team, you'll tailor your approach to ensure your messages are clear, confident, and impactful across face-to-face, written, and virtual channels.

Working closely with the HR team, you'll support the tracking of departmental projects and initiatives, contribute to key activities and internal events such as team meetings and long service awards, and always ensure that each detail is handled with care and consistency.

This hybrid role requires a minimum of two days per week in our Elland office, with flexibility to adjust depending on the needs of the CPO and the wider business.

What are the mission-critical skills?

  • Proven experience supporting a senior leader, executive, or department head
  • Demonstrated ability to handle sensitive and confidential information with discretion and professionalism
  • Strong organisational skills, with the ability to plan, prioritise, and manage multiple tasks and deadlines
  • A proactive, problem-solving mindset with the ability to anticipate needs and adapt quickly to changing demands
  • Exceptional verbal and written communication skills, with confidence in face-to-face interactions, virtual meetings (Teams/Zoom), and document drafting
  • High proficiency in Microsoft Office Suite, including Outlook, Word, PowerPoint, Excel, Teams, and Zoom
  • Ability to produce high-quality, accurate documents (e.g., reports, presentations, meeting minutes)
  • Experience managing projects, tracking progress, and ensuring follow-up actions
  • A results-driven approach, demonstrating self-motivation, independence, and a focus on quality, accuracy, and timely delivery
  • Experience identifying opportunities to improve processes and ways of working
  • Comfortable working in a fast-paced, dynamic environment with competing priorities
