ICON plc is a global leader in healthcare intelligence and clinical research, seeking an Executive Management Assistant to support senior executives from Reading or Dublin. The role focuses on proactive, confidential administration, calendar management, and coordinated travel.

You will contribute to the efficiency of the executive team by preparing documents, managing communications, and driving ad hoc projects with discretion in a fast-paced, global environment.

Qualifications

  • Bachelor's degree or equivalent work experience.
  • Proven experience as executive assistant in a fast-paced, global environment.
  • Strong organizational and time-management skills with ability to prioritise and meet deadlines.
  • Excellent communication and interpersonal skills with internal and external stakeholders.
  • Advanced proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and AI-enabled tools.
  • Ability to anticipate needs, exercise sound judgment and work independently with minimal supervision.

What You Will Do:

You will contribute to executive support and administration activities, taking responsibility for your deliverables and working collaboratively.

  • Managing complex calendars, scheduling appointments, and coordinating meetings

  • Handling correspondence, including emails, phone calls, and other communications

  • Preparing and editing documents, presentations, and reports for executive review

  • Making travel arrangements and accommodations for executives, including booking flights, hotels, and transportation

  • Assisting with special projects and initiatives as assigned by executives

  • Maintaining confidentiality and discretion in handling sensitive information and communications


Your Profile:

You will bring relevant executive support and administration experience, along with the following qualifications and skills:

  • Strong organizational and time‑management skills, with the ability to prioritize tasks and meet deadlines

  • Advanced proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and AI‑enabled tools, leveraging technology effectively to support executive‑level priorities

  • Ability to anticipate needs, exercise sound judgment, and work independently with minimal supervision
