Job Description:
We’re seeking a proactive, highly organized, and discreet Executive Business Partner, during a period of maternity leave, to provide high-level support to members of our Executive Leadership Team (ELT) . This role is critical in ensuring the team is set up for success — managing schedules, coordinating meetings, streamlining communication, and assisting with key projects. Reporting to the Chief of Staff (CoS), the Executive Business Partner will act as a key liaison between the company's management teams and the wider organisation. This is an important role, tasked with ensuring the organisation is always aligned behind our strategy and is continuously moving forward to reach its goals.
The successful applicant will work at pace, operate with a high level of integrity and will have the discretion and respect for confidentiality needed due to the exposure they will have to the decision making apparatus of the business.
Location: Flexible in the UK with a preference for candidates who are within commutable distance to our Derry office.
What you will be doing
- Facilitating productive leadership meetings by preparing the Executive Leadership Team (ELT) and Senior Management Team (SLT) sessions agendas, ensuring content is submitted in advance and available to the team; attending sessions to take actions
- Capturing actions during key ELT and SLT meetings in an action log, and implementing regular one to one check ins with ELT to ensure actions are completed
- Taking responsibility for updating the ELT Tracking document, ensuring the ELT diary, actions log, and session agendas are up to date
- Provide direct administrative support to multiple ELT members, including calendar management, travel arrangements, and meeting coordination
- Working with our CoS to ensure that our ELT and SLT offsites are productive and well organised, including drafting agendas, drafting content, leading on logistics, and drafting pre and post offsite questionnaires
- Supporting our Rallying Cry and Defining Objectives (RCDO) initiatives through working with the initiative teams on scoping and planning. You will prepare the RCDO sprint meeting materials each week to ensure that teams can provide an update on their initiatives, and you will attend sprint meetings, providing challenge and holding teams to their commitments
- Act as a liaison between the ELT and internal/external stakeholders with professionalism and discretion
- Working closely with our Internal Comms lead to produce our monthly Business Update, All Hands, Splash newsletter and our Meet the Team series
- Manage confidential information with integrity and sound judgment
Who we are looking for
The successful candidate will demonstrate:
- Previous experience: You will have previous experience of working closely with senior leadership, including executive level as an Executive Assistant, Business Partner, or similar role.
- Project Management: You will have experience managing projects involving various stakeholders.
- Organisational skills: You will have exceptional attention to detail and the ability to prioritise and multitask. This will be essential to ensuring you keep tasks on track, reprioritise when necessary and take ownership for ensuring commitments are met
- Communications: You will have strong communication and interpersonal skills with an ability to clearly articulate strategic expectations, goals and actions. This will be in all formats - written communications, presentations, online/via the telephone and in person
- Delivering with others: You will be able to work with the wider Learning Pool team and external stakeholders across the globe, building trust and effective partnering to achieve results
- Influencing skills: You have the confidence and ability to get buy in, make things happen and model behaviours to drive positive outcomes
- Results focused: You will be driven to achieve targets, with a high degree of comfort with tangible goals and a strong desire for success.
- Adaptability: You will have experience of working in a dynamic environment where you have been comfortable with change. You have a positive and agile mindset, asking "What can we do to make this happen?" rather than "I don't know how this would work?"
- Tech savvy: You will be proficient in the use of Google Suite and MS office
