Executive Assistant to the CEO

1 x Permanent, Full time - 35 hours, 5 days per week

Competitive Salary + 11.5% superannuation

About The Role

The Executive Assistant to the CEO provides superior executive support which includes high quality, accurate and timely delivery of all facets of work within the Office of the Chief Executive so that their time is used efficiently and effectively.

Key Responsibilities

  • Provide comprehensive administrative and organizational support to the Chief Executive Officer
  • Oversee the CEO's schedule, including coordinating appointments, meetings, and travel arrangements, while managing competing priorities effectively.
  • Organize and prepare for meetings by managing agendas, briefing materials, and follow-ups, ensuring the CEO is informed and well-prepared.
  • Manage incoming and outgoing correspondence, including drafting responses on behalf of the CEO and ensuring timely follow-up on actions.
  • Maintain clear and precise processes for the office of the CEO and to ensure processes and functions move swiftly and efficiently and on time
  • Act as a key point of contact for internal and external stakeholders, maintaining positive relationships with Councillors, government representatives, and senior staff.
  • Handle sensitive information with the utmost professionalism, maintaining confidentiality and acting as a trusted advisor to the CEO.
  • Support the CEO in the delivery of key projects and initiatives, conducting research, preparing reports, and coordinating resources as required.

About You

  • Tertiary qualifications and / or substantial experience in senior executive assistant role
  • Current Class C Drivers Licence
  • Advanced skills in MS Office Suite including Word, Excel, PowerPoint and Outlook, and experience with document management systems (such as Content Manager/TRIM)
  • Demonstrated ability to manage administrative functions, including diary management, meeting coordination, correspondence handling, and the preparation of reports and briefings.
  • Demonstrated ability to exercise high degree of confidentiality and judgement while dealing with sensitive and confidential matters.
  • Able to work autonomously, using initiative and being decisive
  • Able to work in a fast-paced environment, able to work with accuracy and speed and thrive under pressure
  • Confidentially manage internal and external stakeholders on behalf of CEO
  • Experience liaising with a wide range of internal and external stakeholders, such as Directors, Councillors, Members of Parliament, and government departments.
  • Strong time management and diary management experience
