Description du poste

As Executive Assistant to the Vice President of the Global Pharma Segment Business, you will play a critical role in ensuring the smooth operation of a fast-paced, international business. This is a fully remote position with occasional travel required to support face-to-face meetings, customer engagements, and possible team events.

While administrative excellence is at the heart of the role, we are looking for someone who wants to become an integral part of the business rather than simply completing tasks. You will develop a strong understanding of our customers, our products, our priorities, and how we operate, enabling you to anticipate needs, identify opportunities to improve efficiency, and provide proactive support across the wider Pharma leadership team.

This role offers the opportunity to build a long-term career within a growing global organization. Success will come from becoming deeply embedded in the business, building trusted relationships, and consistently staying one step ahead.

Our Team

The Global Pharma Segment is responsible for working with many of the world's leading pharmaceutical companies to support the development and delivery of drug delivery solutions that improve patient outcomes.

Our team operates across multiple countries and functions, working closely with customers, technical specialists, commercial teams, and senior leaders. Collaboration, agility, and customer focus are at the centre of everything we do.

As Executive Assistant, you will support not only the Vice President but also provide administrative and operational support to a wider group of leaders and team members across the Pharma business, helping to keep our teams connected, organised, and focused on delivering for our customers.

What You Will Do

  • Provide comprehensive diary management for the Vice President of the Global Pharma Segment and selected members of the Pharma leadership team.
  • Coordinate internal and external meetings, ensuring agendas, materials, logistics, and actions are managed effectively.
  • Arrange domestic and international travel, including flights, accommodation, itineraries, and meeting schedules.
  • Take accurate meeting notes and prepare concise summaries, actions, and follow-up communications.
  • Support the planning and coordination of leadership meetings, team events, offsites, and customer engagements.
  • Prepare reports, presentations, metrics, and business updates using business systems.
  • Coordinate visits and meetings with key external customers, ensuring a high standard of professionalism and organisation.
  • Manage expenses, approvals, documentation, and general administrative activities in a timely manner.
  • Build strong working relationships across the business and act as a key point of contact for stakeholders.
  • Identify opportunities to improve ways of working and help implement more efficient processes and approaches.
  • Anticipate upcoming priorities and proactively manage competing demands to keep the business running smoothly.

Who You Are (Basic Qualifications)

  • An experienced Executive Assistant, Personal Assistant, or senior administrative professional who thrives in a dynamic environment.
  • Highly organised with exceptional attention to detail and the ability to manage multiple priorities simultaneously.
  • A strong communicator who can interact confidently with senior leaders, colleagues, customers, and external partners.
  • Comfortable working independently within a remote environment while remaining highly collaborative.
  • Discreet and trustworthy when handling confidential and sensitive information.
  • Proactive, resourceful, and able to solve problems with minimal direction.
  • Skilled in Microsoft Office applications, particularly Outlook, PowerPoint, Word, Excel, and Teams.
  • Professional, adaptable, and motivated by supporting others to succeed.

What Will Put You Ahead

  • Experience supporting senior executives within a global or customer-facing business environment.
  • Previous experience coordinating meetings and engagements with external customers or strategic partners.
  • The ability to quickly understand business priorities and connect day-to-day activities to broader objectives.

A genuine interest in learning about the pharmaceutical, healthcare, or medical device industries.

  • Demonstrated ability to anticipate needs before they arise and proactively remove obstacles for leaders and teams.
  • Experience working across international teams and coordinating activities across multiple time zones.
  • A mindset that views the role as more than administration, becoming a trusted partner who contributes to the effectiveness and success of the wider business.
  • A desire to build a long-term career by embedding yourself in the organisation, continuously learning, and growing alongside the business.
