Job Description:

Are you seeking a challenge that has the opportunity to impact and enhance the experience of thousands of Amazonians around the world? Amazon’s AWS People eXperience & Technology team (AWS PXT) is seeking an intuitive, well-organized, and self-motivated Executive Assistant (EA) to support two EMEA based Directors (London and Rome). While this role is preferably based in London, we may consider other EU location hubs for the right candidate.

In this role, you will have the opportunity to work in a dynamic community of HR professionals, other Executive Assistants, and business stakeholders who are based globally. The two Directors lead global teams—one focused on HR business partnering for the AWS Global Data Centre Operations business, and the other on talent management and leadership development for AWS globally. Partnering with the Directors and wider leadership, this EA will be a key member leading the rhythm of business and orchestrating key people initiatives globally. A high level of integrity and discretion in handling confidential information, coupled with the ability to build and maintain professional relationships with diverse stakeholders across all levels of the organization (both within and outside Amazon), is essential.

Key job responsibilities:

  • Drive operational efficiency through strategic time management, meeting coordination, and process improvement initiatives aligned with business priorities
  • Lead stakeholder management by serving as primary point of contact and building strong relationships with internal and external partners across all organizational levels
  • Coordinate and execute team events including offsites, All-Hands meetings, and employee engagement activities
  • Provide comprehensive calendar and meeting management for two Directors, including strategic time prioritization, preparing agendas, taking detailed minutes, tracking action items, and ensuring timely follow-up on deliverables
  • Manage end-to-end domestic and international travel arrangements, including expense reporting and compliance with company policies
  • Coordinate cross-functional projects and initiatives as needed to support organizational goals
  • Handle budget tracking, financial administration, and raising Purchase Orders as required
  • Draft, proofread, and edit high-level correspondence on behalf of the Directors
  • Anticipate potential issues and proactively develop solutions
BASIC QUALIFICATIONS
  • Knowledge of Microsoft Office products and applications
  • Experience as an Executive Assistant
  • Experience with executive level calendar management
  • Experience with domestic or international travel coordination
PREFERRED QUALIFICATIONS
  • Experience leading process improvements
  • Experience designing processes to maximize efficiency
  • Experience with project/program management
  • Experience working in a high tech/multinational matrix organization
  • Strong verbal and written communication skills
