ICG in London is seeking an Executive Assistant to support a small group of senior Directors within the European Mid-Market team. The role focuses on extensive calendar management, travel coordination, events planning, and business support, with strong interaction across Europe, APAC and North America.

  • Manage emails, MS Teams, and calls with internal/external stakeholders.
  • Onboard/offboard and general EA duties; cover for others as needed.

This is an exciting opportunity to join a dedicated and talented team of professionals, where collaboration and contribution are a priority. The global Executive Assistant team consists of over 45 colleagues situated between London, Europe, Middle East, Asia Pacific and North America. The individual will support a small group of senior (Managing) Directors, including the European Mid-Market strategy head, in London alongside other Executive Assistants.

The team of over 25 Executive Assistants in London work together supporting senior Directors across the business. Everyone is capable, experienced and has a strong connection to the company, within the global Executive Assistant team and business areas they support. There is a collaborative and hardworking quality output ethic in the team. Core responsibilities of the role are extensive diary management, travel, expenses and business support. Executive Assistants co-ordinate with an external travel company to organise travel.

This is a role that requires you to be adaptable, efficient and organised with the ability to prioritise several tasks simultaneously with high attention to detail. You will be able to demonstrate excellent interpersonal skills to interact with internal and external stakeholders mainly across Europe, APAC and the US at all levels and be a team player.

Primary Responsibilities
  • Extensive calendar management, coordinating schedules, internal and external calls and meetings including those for portfolio companies where your internal clients act as board directors
  • Arranging national and international travel and itineraries
  • Planning and organising team and business area events, European offsites, lunches and dinners
  • Business assistance including formatting and working on documents, spreadsheets and presentations
  • Extensive email, video conference (MS Teams) and phone liaison externally and internally
  • General EA duties including completing expenses, onboarding new joiners, offboarding leavers and taking actions
  • Ad hoc duties as required including support and cover for other EAs

Technical

  • Advanced Microsoft Office skills including Outlook, Word, Excel and PowerPoint
  • Fluent written and verbal English
