Job summary

London & Partners is seeking an Executive Assistant to provide strategic support to the Managing Director and Business Growth Directors, coordinating complex calendars and international activities. You will partner across teams to ensure priorities are met and key initiatives progress smoothly.

In this role you will manage travel, budgets, and office processes, act as a trusted partner across internal and external networks, and contribute to high-profile projects with a global reach.

Qualifications

Description

This is a pivotal and highly visible role at the heart of the Business Growth Directorate, providing strategic executive support to the Managing Director and Business Growth Directors while helping to drive the success of key business growth initiatives. Working across a dynamic international network spanning India, China, North America, Europe, and London, you will coordinate complex activity, build strong stakeholder relationships, and ensure the smooth running of a fast-paced and ambitious directorate.

As London & Partners continues to expand its programmes supporting high-growth tech companies, you’ll play a vital role in connecting teams, managing priorities, and enabling senior leaders to focus on delivering impact. This is an exciting opportunity for a proactive, organised, and solutions-focused professional who enjoys working independently, taking ownership, and contributing to high-profile projects with global reach.

Key Tasks
Diary management and preparation for meetings
  • Use own initiative to support MD Business Growth manage their time effectively and give adequate attention to company priorities via scheduling of meetings and overseeing the MD Business Growth’s calendar.
  • Schedule and organise regular cross team meetings and one to ones with the MD Business Growth and International Directors. Take actions at relevant group meetings and follow up.
  • Coordinate business travel and accommodation arrangements for MD and Directors Business Growth in the UK and internationally as required.
  • Support switchboard team and when on rota respond to telephone queries, resolving wherever possible, or redirecting calls where necessary.
  • Support the Managing Director with Budget Management.
  • Develop and maintain office and administrative processes, including process improvement within the EA team.
  • Provide reception desk cover at London & Partners on a rota basis, as part of the Executive Assistant (EA) team.
Co-ordination across Business Growth including our international markets
  • Work with the operations team at HQ to ensure the smooth running of the Markets teams including IT issues, general finance queries.
  • Work with Markets teams and ops teams in HQ to identify issues, assist with solution development, prioritisation and escalation and progress tracking.
  • Assist with organisation of key events, including international teams programme during annual Staff Conference.
Project work for Business Growth Directorate
  • Own and update the Business Growth activity roadmap.
  • Manage international travel records for Business Growth Directorate.
  • Support a key Business Growth project as required.

  • Proven and proactive PA or Executive Assistant experience at Director level with demonstrable experience of managing a complex diary in a fast‑paced environment.
  • Proven strong organisational skills with the ability to use initiative to plan, prioritise and allocate a heavy workload effectively and respond flexibly to rapidly changing and conflicting priorities.
  • Motivated, well‑organized, and dependable.
  • Ability to demonstrate a high standard of accuracy and attention to detail.
  • Experience or an interest in managing projects and driving actions forward. Experience of maintaining office and administrative systems (including CRM systems).
  • Experience working as a key member of a team, able to take own initiative and work flexibly.
  • Proven ability to communicate information effectively and confidently to a wide range of internal and external contacts and at a very senior level.
  • Excellent IT skills including knowledge of MS Office (Word, Excel and PowerPoint, Outlook, Dynamics) and Intranet/ Internet systems. Experience of Office 365/ cloud based document storage would be desirable.
