Job summary

ICAS, a global professional membership organisation, is seeking an Events Executive in Edinburgh to support planning and delivery of engaging events for members, students and partners. You will coordinate in-person, virtual and hybrid events, manage administration, liaise with speakers and venues, and help promote attendance.

The role emphasizes proactive planning, strong organisation, and a customer-service mindset in a busy, collaborative environment.

Qualifications

  • Experience supporting or coordinating events, ideally in a professional, membership, education or corporate setting.
  • Strong organisation and planning skills, with the ability to manage deadlines and competing priorities.
  • Excellent attention to detail and confidence preparing accurate information, materials and documentation.
  • Clear communication skills and confidence working with colleagues, suppliers, speakers and delegates/attendees.
  • Good digital skills, including Microsoft Office and relevant event, webinar or CRM systems.
  • A proactive, flexible and calm approach in a busy environment.
  • A strong customer-service mindset and commitment to inclusive, accessible experiences.
  • Coordinating in-person, virtual and hybrid events.
  • Managing event administration, including delegate lists, invitations, joining instructions, suppliers and materials.
  • Liaising with teams, speakers, venues, suppliers and stakeholders to support smooth delivery.
  • Preparing event plans, timelines, briefs, running orders and key documentation.
  • Supporting event promotion and attendance with marketing and communications colleagues.
  • Providing on-the-day support, including registration, speaker support, troubleshooting and attendee queries.
  • Gathering feedback and identifying ways to improve future events.
  • Maintaining accurate records, budgets and processes.
