Job summary

Restaurant Associates UK is seeking a strategic, energetic Event Planner to own large-scale conferences, banquets, and expos at Royal Armouries Museum - Leeds (on-site). You will develop detailed plans, coordinate floors plans and timelines, and work with Sales, Marketing, and Operations to ensure flawless delivery.

Ideal candidates have 2+ years in conference/banqueting/event planning, strong organisational skills, and experience with CRM systems and MS Office.

Qualifications

  • 2+ years in conference, banqueting and exhibition event planning.
  • Proven experience managing multi-day, multi-track events with hundreds or thousands of attendees.
  • Highly organised with excellent attention to detail and ability to meet deadlines.
  • Experience using CRM platforms and event management software.

Responsibilities

  • Plan large-scale B2B and B2C conferences, exhibitions, banquets and expos.
  • Develop detailed event plans, floorplans, schedules and timelines for seamless delivery.
  • Conduct venue showrounds and planning meetings with clients and finalise requirements.
  • Prepare accurate Banqueting Event Orders (BEOs) and communicate details to Operations.
  • Collaborate with Sales, Marketing and Operations for successful delivery.
  • Monitor budgets and review performance to identify improvements.
  • Attend venue showcase events and family/fam trips when possible.
  • Follow up with past clients and opportunities to generate new business.

What You’ll Do

  • Plan large-scale B2B and B2C conferences, exhibitions, banquets and expos.
  • Develop detailed event plans, floorplans, schedules and operational timelines to ensure seamless event delivery.
  • Conduct venue showrounds and planning meetings with clients, establishing final event requirements while proactively identifying opportunities to enhance their event experience and maximise revenue.
  • Prepare accurate Banqueting Event Orders (BEOs) and attend operational meetings to ensure all event details are communicated effectively to the Operations team.
  • Work closely with the Sales, Marketing and Operations teams to ensure successful event delivery.
  • Monitor event budgets, review event performance and identify opportunities for continuous improvement.
  • Opportunity to attend venue showcase events and FAM Trips
  • Proactively follow up previous clients, lost enquiries and lapsed accounts to generate new business opportunities.
  • Monitor competitor activity and market trends to identify opportunities that help Royal Armouries Conference & Events remain competitive and grow market share.

Who You Are

  • Minimum 2 years' experience in conference, banqueting and exhibition event planning.
  • Proven experience managing multi-day, multi-track events with hundreds or thousands of attendees
  • Highly organised with excellent attention to detail, able to prioritise multiple projects and consistently deliver to deadlines.
  • Demonstrable experience of achieving KPIs and contributing to business growth through proactive account management and sales activity.
  • Proactive and solutions-focused, with the ability to remain calm under pressure and adapt to changing requirements.
  • Comfortable using event management systems, CRM platforms and Microsoft Office, with the ability to analyse data and produce accurate reports.
  • Passionate about delivering outstanding customer service and creating memorable event experiences.
  • You’ll possess commercial awareness, constantly seeking new opportunities to generate revenue.

Bonus Points If You Have

  • Experience working with Salesforce / Delphi
  • Familiarity with CAD software or floor planning tools
