Job summary

onlyFE seeks an Estates Supervisor to oversee and coordinate the Estates Assistants and Cleaning Team, delivering a high-quality, responsive support service to staff and students. You will contribute to efficient day-to-day running, maintenance and presentation of College estate and support new campus developments planned for 2026.

Qualifications

  • First Aid qualification or willingness to work towards.
  • Level 2 qualification (GCSE A*-C, or equivalent) in Maths and English.
  • Possess a full driving license and have immediate access to a car in case of emergency call out.
  • Basic Health and Safety at work (Desirable).
  • Be a member of a recognised professional body e.g. IWFM or BIFM (Desirable).

Responsibilities

  • Monitor, co-ordinate and allocate all tickets raised through the College reactive help desk, prioritising by urgency, location and task.
  • Respond to customer requests via the IT/Estates service desk in a professional, timely manner with high-quality service.
  • Work with the Director of Estates to create and implement an SLA for estates tasks.
  • Oversee mandatory planned maintenance and fire/safety checks with comprehensive records.
  • Support Building Services with daily plant equipment operation and issue reporting.
  • Carry out inspections and report repairs or safety concerns to the Director of Estates.
  • Coordinate general maintenance duties including minor trades and contractor supervision.
  • Liaise with the Cleaning Supervisor to manage staffing levels and maintain cleanliness across sites.
  • Meet contractors and instruct on works, ensuring adherence to College procedures.
  • Draft and place orders for consumables and minor maintenance items via Estates Administrator.
  • Lead on coordinating support for college events and external events on College premises.

The role is responsible for overseeing and coordinating the Estates Assistants and Cleaning Team to ensure the delivery of a high-quality, responsive support service to the College's staff and student community.
You will play a key role in the efficient and effective day-to-day running, maintenance and presentation of the College estate, ensuring that facilities and services are maintained to a high standard and meet the needs of the College community.
The role will also support the development and operation of new College provision, including the proposed new campus at the Station Quarter from September 2026 and the Skills Shop from October 2026.

Key Responsibilities
  • Monitor, co-ordinate and allocate all tickets raised through the College reactive help desk, including prioritisation by urgency, location and task requested.
  • Respond to customer requests via the IT/Estates service desk, or as notified by the Director of Estates or Estates Administrator, in a professional, positive and timely manner so that originators are always up-to-date on progress, aware of any issues with their request and receive high quality customer service at all times.
  • Work with the Director of Estates to create an SLA for estates-related tasks submitted through the help desk and implement accordingly.
  • Monitoring, co-ordinating and supervising completion of mandatory planned maintenance tasks, ensuring records and audit trails are comprehensive, including operating fire and intruder alarm systems, carrying out weekly fire alarm checks, and periodic checks of other statutory items - such as emergency lighting systems.
  • Supporting the Building Services and Sustainability Officer with checking and monitoring of the daily operation of building plant equipment - heating, water services, air conditioning and AHU systems, etc., and reporting back any issues noted so they can progress remedy expediently.
  • Carrying out and recording inspections of the premises, reporting any required repairs or maintenance work or health and safety concerns identified to the Director of Estates.
  • Identify and co-ordinate general maintenance duties by the Estates team, including minor plumbing, carpentry and building repairs, decorating and, when required by the Director of Estates or Building Services Officer, contractor supervision.
  • Liaise with and support the Cleaning Supervisor with the productivity and management of the cleaning team at all College sites, ensuring good levels of staffing in line with need and occupancy, to provide a consistently high standard of cleanliness throughout the organisation.
  • Meet with contractors and instruct on works required, ensuring College procedures are adhered to.
  • Draft and place orders for consumables/materials and other minor maintenance items through the Estates Administrator.
  • Lead on co-ordinating support for any college events, or events by externals on College premises, working in conjunction with the event organisers, the College marketing team and estates staff that will be on shift for the event set up and duration as required.
Skills, Knowledge & Expertise
SKILLS AND EXPERTISE
  • Have a good general knowledge of general building construction and maintenance, and have experience and qualifications in a recognised trade, or supervisory experience of FM functions
  • Experience of using MS Office applications such as Word and Excel, and general computer skills
  • Experience of supervising others, in a manner conducive to efficient and effective working
  • Able to work effectively on their own initiative as well as being a part of a team, having a common-sense approach to tasks
  • Have excellent communication and interpersonal skills and be able to adapt to all situations
